Description

• assemble, review, and verify invoices and check requests.
• Checking for Mail in the Mail Room and Opening the mail to scan to upload either to Purchasing System or Payables System.
• Checking the Accounts Payable email account to save and upload to either the Purchasing System or Payables System.
• Checking for invoices being submitted directly to the Payables System.
• Enter and Upload invoices either to our Purchasing System (Hybrent) or to Nexus Payables.
• Review and reconcile the charges to the Monthly Credit Card Statements to properly assign the invoices to the credit card in the payables system.
• Flag and clarify and Unusual or questionable invoice items or prices.
• Sort, code, and match invoices to Purchase Orders in our Purchasing System to submit to our Payables System.
• Review Vendor and Service Provider Agreements
• Reconcile Accounts Payable Transactions
• Prepare Analysis of Accounts
• Correspond with Vendors Regarding Billing and Payments
• Reconcile Statements and Payment Records in Great Plains
• Research and Resolve invoice discrepancies and issues.
• Produce Monthly Reports
• Assist with Month-End Closing.
• Track and Pay Sales and Use Tax
• Setting Up New Vendor in Great Plains (Accounting Software) and submit a request to our Purchase System Support to add a new vendor.
• Request a W9 for all new vendors and saving the documentation to Nexus (Payables System)

Qualifications

Required Minimum Education: High School Diploma and some accounting experience

Required Minimum Experience: 2-3 years experience

• Results oriented, effective organizational skills, detail oriented.
• Ability to investigate issues/concerns and resolve problems.
