Job Description

The Human Resources (HR) Generalist will oversee various aspects of HR processes including but not limited to employee relations, benefits management, employee onboarding and offboarding, and leave management for the organization. The HR Generalist/Administrator will serve as the first point of contact on HR-related issues within the organization and the primary contact for benefits vendors and provide the highest level of support to the HR department, employees, and program directors.

POSITION RESPONSIBILITIES:

Employee onboarding management and oversight:

  • Work in coordination with the HR Coordinator to manage employee onboarding, review compensation and administer benefits plans for the human resources department.
  • Work in collaboration with the HR Coordinator, the Training Department, and the Development Department to manage and facilitate the agency’s monthly new hire orientation.
  • Work in partnership with program directors and the director of Human resources to identify HR-related training needs for new employees, and supervisors and assist with the development and facilitation of the training.

HR Collaborations and Employee Relations:

  • Function as the first point of contact for HR policies and procedures, employee inquiries and concerns, and work in collaboration with the HR Director to ensure compliance with organizational policies and legal regulations.
  • Administer and manage the agency’s exit and employee engagement surveys, and work in collaboration with the HR Director to analyze results with the goal of helping the organization evaluate its workplace environments.
  • Be a thought partner on the agency’s Talent management strategies and attend agency meetings relating to talent management.
  • Assist with HR metrics analysis to inform business decisions, improve HR practices, and work with the HR Director to support HR initiatives that support the agency’s overall goals.
  • Maintain up-to-date training and understanding of the current Human Resources Information System software (ADP Workforce Now).
  • Work in collaboration with HR Director to identify and recommend updates to HRIS software, systems, and procedures.
  • Maintain an in-depth understanding of the agency’s policies and procedures as well as current employment-related regulations and policies.
  • Maintain ongoing communication with program directors and employees regarding leaves and various HR or benefits issues and/or questions.
  • Mentor and assist with developing HR talent within the department, ensuring a legacy of strong HR processes and leadership for the future.
  • Work in collaboration with HR Coordinator to gather relevant unemployment information and respond to unemployment claims.
  • Work in collaboration with HR Coordinator to prepare for and attend unemployment hearings.

Benefits administration and oversight

  • Work in coordination with the HR Coordinator to maintain employee records; administer benefit plans, such as health insurance, dental, FSA, 403B Retirement plan, and other agency optional benefits; and oversee employee self-service via capabilities ADP and agency’s internet.
  • Work in partnership with the agency’s Payroll Administrator to process monthly benefits bill reconciliations.
  • Maintain all aspects of benefits including:
    1. Maintain the paperwork needed for each benefit type.
    2. Enrolling employees in appropriate benefits
  • Responsible for management and oversight of the agency’s annual open enrollment process and work in collaboration with the HR and payroll team to ensure successful and smooth completion.
  • Work in collaboration with the Payroll/HR team to complete other benefit-related tasks as needed (e.g., sending required documents to employees or vendors, filing, etc.).
  • Maintain in-depth knowledge of the benefits offered by Thom Child and Family Services and serve as the agency’s point person on benefits-related issues and matters for employees and vendors.
  • Work in collaboration with the Payroll Administrator to prepare the benefits invoices including preparing a spreadsheet of all enrolled and maintain accurate tracking of benefits enrollments.
  • Work in collaboration with the Payroll/HR team to communicate with supplemental benefits vendors, LTD, FSA, COBRA, health, and dental vendors regarding issues and/or questions that may arise.
  • Work in collaboration with the Payroll/HR team to oversee online and paper (if applicable) enrollment and maintenance of benefit membership and reporting to vendors including updates, terminations, enrollments, billing for life insurance, LTD, health, dental, FSA, and other Thom offered supplemental benefits. This would also include ensuring COBRA coverages are offered, when necessary, by reporting updates to the COBRA vendor.
  • Work in collaboration with the payroll team to facilitate weekly new hire benefits review training and monthly new hire orientation training.
  • Complete benefit tasks as needed (e.g., sending required documents to employees or vendors, filing, etc.), provide benefits support coverage, and manage HR/Benefits-related projects as needed.

Leave administration and oversight:

  • Work in coordination with the HR Coordinator to manage the agency’ leaves including FMLA, PFML, LTD, Worker’s Compensation, etc.
  • Work in collaboration/coordination with the HR Coordinator around employee-related changes including new hires, leave-related changes, etc.
  • Maintain an up-to-date understanding of HR laws and practices regarding leaves of absence including FMLA, Massachusetts Paid Family Medical Leave (PFML), etc., disability, unemployment, and worker’s compensation.
  • Provide coaching and training to program directors and supervisors on HR best practices relating to leave, disability, unemployment, and worker’s compensation.
  • Process ADA accommodations and conduct preliminary fact-finding investigations regarding employee misconduct, harassment, etc.

REQUIRED KNOWLEDGE AND SKILLS:

  • Effective communication and conflict resolution skills
  • Proficient in analyzing HR metrics.
  • Skills in project management and cross-departmental collaboration
  • A solid understanding of HR processes, such as employee onboarding, annual open enrollment, leave management, employee relations, and benefits administration.
  • A solid understanding of various leaves and their applications including FMLA, PFML (Massachusetts Paid Family Medical Leave), Domestic Violence leaves, and other state or federally-mandated leaves.
  • A solid understanding of the FSLA standards and application.
  • Adept at using Human Resources Information Systems (HRIS) preferably ADP WFN.
  • A strong knowledge of employment laws and regulations and the state and federal annual reporting.

QUALIFICATIONS:

  • Bachelor's degree in Human Resources (preferred), Management or Business Administration.
  • Minimum of 5 years of related experience in HR, Benefits Administration and Leave management.
  • Experience with ADP Workforce Now, preferred.
  • Strong analytical and problem-solving skills
  • Proficiency with Microsoft Office Suite, especially Excel, required.
  • Excellent communication skills and ability to work well with various personalities in a positive, professional manner.
  • Strong organizational skills and excellent attention to detail
  • Knowledge of handling HR confidential and sensitive information.
