Job Description
Thies & Talle Management Inc., a leading property management company with nearly forty years of experience in the multi-housing industry, has an opening for a Part-time, roughly 20 hours per week, Leasing Specialist at our apartment community located in Rapid City, SD. Duties include rental, resident relations and general administrative duties. Must have good communication and customer service skills, basic computer skills, be well organized and detail oriented. Prior sales, retail or property leasing experience a plus! Must be able to multi-task in a busy office atmosphere. Wage depends on experience. Some evenings and most Saturdays required. SUMMARY: The Affordable Leasing Specialist is responsible for showing and leasing apartments or townhouses to prospective tenants, assisting with other office-related duties, and maintain Section 8 compliance. They will work closely with the Thies and Talle property manager.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Other duties or tasks may be assigned as required. Management may modify, change, or add to the duties of this description at any time without notice.

  1. Interviews prospective residents and records information to ascertain needs and qualifications.
  2. Accompanies prospects to vacant or available units and discusses size and layout of rooms, available facilities, talks about services available, and terms of lease.
  3. Follow-up with prospects through thank you notes, phone calls, email, etc.
  4. Ensures compliance with adherence to Fair Housing laws.
  5. Refers prospects to other Thies & Talle Properties as appropriate.
  6. Enters prospect and applicant information into Property Management software. Uses system reports to monitor closing ratios, upselling opportunities, etc.
  7. Completes lease form or agreement and collects rent deposit(s).
  8. Collects monthly rents.
  9. Receives service requests.
  10. Maintains emergency telephone numbers.
  11. Prevents solicitors from contacting residents on the property.
  12. Schedules move-ins and move-outs.
  13. Maintains an up-to-date resident file on every unit.
  14. Monitors leasing process and attend employment training when required.
  15. Provides other administrative and support assistance as needed by site office and Property Manager.
  16. Meet with applicants before their applications are processed to begin the certification process and update their applications.
  17. Assist Property Manager with certification processes on a timely basis as required by HUD.

SECONDARY DUTIES AND RESPONSIBILITIES include the following:

  1. Maintain resident files making sure that changes are made and files are kept up to date. Make sure that all required documents are signed by the resident and that a copy is in their file.
  2. Maintain confidentiality concerning resident information.
  3. Stay current on compliance changes within all applicable state and federal programs by attending training, reviewing correspondence with funding agencies, and contributing to company-wide training and written documentation.
  4. Conduct file reviews regularly.
  5. Acts as a liaison between residents and community services.
  6. Prepares and distributes notices and newsletters.
  7. Helps residents and applicants with their paperwork.
  8. Notifies residents of important events.
  9. Assists with resident functions.
SUPERVISORY RELATIONSHIPS: To perform this position successfully, an individual must be able to work within the following supervisory relationships:
The Leasing Specialist reports to the Property Manager. The Leasing Specialist does not supervise other employees.
Job Requirements

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential job duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and Experience. High school diploma. Combination of education and experience with affordable housing, government subsidy programs, administration or other relevant education or experience is preferred. Previous computer experience is preferred.

- Language Skills. Ability to read, analyze, and interpret government regulations and internal company policies. This position works closely with the Property Manager and needs to be able to communicate with them on a wide variety of issues.

- Mathematical Skills: Good understanding of math equations up to algebra level.

- Reasoning Ability: Must have attention to detail and problem-solving abilities.

- Other Skills/Abilities/Specifications: Excellent people and organizational skills are required. Listening and the ability to communicate effectively to residents and applicants is essential. Time management is essential. Must be self-motivated and able to work independently. Confidentiality is a must.

PUNCTUALITY AND ATTENDANCE: Regular attendance, reliability, and punctuality are needed to be available to respond to other employees and complete their job duties in a timely manner.

WORKING CONDITIONS: The working condition characteristics described here are representative of those an employee encounters while performing essential functions of this job. The employee will come in contact with applicants, residents and former residents from diverse religious, cultural and economic backgrounds, including persons with special needs, where communications may pose challenges that will require additional efforts and patience. The noise level in the work environment is usually moderate.

 PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

The employee must also be able to spend significant time each workday in front of a computer screen and to perform computations and keyboarding work for a considerable period of time a day with a computer.
