Job Overview:
The Behavioral Health Office Manager plays a vital role in ensuring the smooth day-to-day operations of the behavioral health division. This individual oversees all administrative functions, supervises patient care coordinators, and provides direct support to the Director of Behavioral Health. They are a highly organized and detail-oriented individual with excellent communication and interpersonal skills, who creates a positive and efficient work environment for both staff and patients.

Responsibilities:

Administrative Oversight:

  • Manages all aspects of the office, including scheduling appointments, managing patient flow, and ensuring timely insurance verification and pre-authorization.
  • Oversees billing and collections processes to ensure accurate and efficient financial management.
  • Maintains accurate and confidential patient records in accordance with HIPAA regulations.
  • Develops and implements administrative procedures to optimize operational efficiency.
  • Orders and maintains office supplies and equipment.

Patient Care Coordination:

  • Supervises patient care coordinators, providing guidance and support in their daily tasks.
  • Develops and maintains scheduling protocols to ensure timely access to care for patients.
  • Implements strategies to address patient appointment adherence and reduce no-show rates.
  • Facilitates smooth patient intake processes for new patients.
  • Coordinates communication between patients, clinicians, and other healthcare providers as needed.
  • Partner with the billing department to obtain insurance authorization for new patients.
  • Collect payment from patients and/or families in accordance with practice policies.
  • Handle patient inquiries related to billing and insurance.

Support for the Director:

  • Provides administrative support to the Director of Behavioral Health, including scheduling appointments, managing calendars, and preparing reports.
  • Compile regular reports from the EHR to monitor the performance of the division, including metrics on patient demographics, diagnoses, finances, and no-show rates.
  • Analyze reports to identify areas for improvement and present findings to the division director.
  • Attend staff meetings and take comprehensive notes, sharing key takeaways with relevant parties.
  • Send outstanding progress note and unlocked progress note reports to therapists on a regular basis.
  • Assists with special projects and initiatives as assigned.
  • Maintains open communication with the Director to ensure their needs are met and priorities are addressed.

Human Resources:

  • Assists with the recruitment and onboarding of new staff for the behavioral health division.
  • Maintains personnel records and ensures compliance with employment regulations.
  • Assesses employee performance of the patient care coordinators and other assigned staff.

General:

  • Uphold the practice's mission and values in all interactions.
  • Maintain a positive and professional work environment across both locations.
  • Participate in ongoing training and development opportunities.
  • Ability to travel effectively and work collaboratively at both practice locations.

Qualifications:

  • Bachelor's degree in Healthcare Administration, Business Administration, or a related field or 4-6 years equivalent experience in a similar role
  • Minimum of 2 years of experience in a healthcare setting, with at least 1 years in a supervisory role.
  • Proven experience in managing administrative operations and workflows.
  • Strong understanding of HIPAA regulations and patient confidentiality.
  • Excellent communication, interpersonal, and organizational skills.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Proficiency in electronic health record (EHR) systems.
  • Ability to prioritize multiple tasks, work independently, and manage deadlines effectively.
  • Strong leadership skills with the ability to motivate and supervise staff.
  • Passion for mental healthcare and a commitment to providing excellent patient service.
  • Valid driver's license and reliable transportation.
  • Ability to travel between two practice locations effectively.

Job Type: Full-time

Pay: $50,000.00 - $60,000.00 per year
