Title: Project Coordinator

Location: Toronto (Adelaide & Victoria) or Oklahoma City (Robinson at Leadership Square)

This role is primarily ‘work from office’ 4 days a week.

About The Role:

The Project Coordinator is a key enabler role that helps the effectiveness of our Project delivery of our customer software implementations. You will be supporting Project Managers with coordination and completion of projects on time, within budget, and within scope. You will maintain and follow up on key project items, such as the project schedule, risk/issue log, and deliverable documentation. You will ensure the Project Management tools are maintained, accurate, and consistent with standards to ensure audit requirements are met. You will provide assistance with preparing reports for internal and external management regarding status of project.

Responsibilities:

  • Coordinate project team for adherence to provided timelines and deliverables.
  • Ensure documentation is maintained within the Enterprise Project Management tool throughout the length of the project.
  • Assist Project Managers, Program Managers and Head of PMO with operational functions and processes, and regularly follow up to ensure ongoing maintenance and reporting of projects.
  • Manage day-to-day operational and administrative activities for the Project Management team.
  • Analyze project data and produce progress reports.
  • Prepare communications around plans, actions, risks, and issues with key stakeholders.
  • Document lessons learned and best practices for future reference and continuous improvement.
  • Support the PMO with resource planning and forecasting.
  • Maintain the project and PMO financial reports.
  • Establish and grow relationships with multiple teams across the Thentia organization

Qualifications:

  • 3 years of project coordination experience in a consulting capacity, preferably in a SaaS environment.
  • Post secondary education in business administration, engineering, or other related fields.
  • Strong understanding of project management methodologies, tools, and techniques.
  • Pursuit of Project Management Professional (PP) credential, via PMI is preferred but not essential.
  • Ability to work independently and as part of a team
  • Solid organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple projects simultaneously and manage time effectively.
  • Ability to adapt to changing environments and timelines
  • Excellent communication and strong interpersonal skills
  • Ability to organize priorities based on deadlines
  • You have the willingness to learn and develop your skills
  • You are proactive and can prioritize across multiple competing priorities
  • Strong proficiency in project management software such as Microsoft Project, Jira, Clickup, or similar tools.
