JOB SUMMARY

The DME Office Administrator will work alongside the Operations and Compliance Manager and other DME companies within Wound Pros. The DME Office Administrator will collaborate with referral sources, physician's offices, clinicians, and patients to build a patient’s medical chart. Medical records shall be extracted from the Rapid Imaging Technical Assessment system ( RITA) and placed in a Google drive under the respective patient medical records.

WHAT YOU HAVE ALREADY ACHIEVED

  • High School diploma or equivalent
  • Three to five years of DME experience is preferred
  • Proven work experience as a DME Office Administrator or similar role
  • Experience in Microsoft Office and Google Suites.
  • Time management skills
  • Familiarity with business and financial principles, inclusive of budgeting and forecasting

WHAT ARE YOUR ASSIGNMENTS

  • Ensures all compliance operations are carried out in an appropriate, cost-effective way
  • Improves and automates operational management systems, processes, and best practices
  • Purchase office materials through the Operations and Compliance Manager
  •  Helps the organization’s processes remain legally compliant
  • Formulates strategic and operational objectives
  •  Examines financial data and uses it to improve profitability
  • Manages budgets and forecasts
  • Performs quality controls and monitors production KPIs
  • Trains and supervises staff
  • Find ways to increase the quality of customer service
  • Performs patient satisfaction surveys on every new Medicare Patient 
  • File the documents in the appropriate file.
  • Performs patient Plan of Care for new Medicare patients
  • Completes any special instructions from the billing team for the patient's insurance prior to the delivery.
  • Will call patients for refill reminders, if applicable. 
  • Work with the Compliance Officer and other personnel to meet the patient’s needs for DME surgical dressings.
  • Works with patients/clients to solve a variety of problems, thereby acting as a company field representative
  • Responsible for confirming completed work orders in a timely manner.
  • Assumes other duties within the scope of training as assigned by the DME Operations and Compliance officer
  • Shall read and understand the ADA, which requires that necessary steps be taken to communicate effectively with customers with vision, hearing, and speech disabilities. This title is regulated and enforced by the U.S. Department of Justice 
  • Responsible for answering all incoming calls, checking the system daily for new patients for your organization
  •  Any additional duties or responsibilities as requested by the Executive team

WORK SCHEDULE

  • This is a Full-time, 30-plus-hour work week position available Monday through Thursday between 9:00 a.m. and 5:00 p.m.
