The University of Iowa is Hiring a Clinic Services Specialist - Department of Surgery Near Iowa, IA

This position provides centralized patient documentation support for over 50 faculty members, 30 APPs, and 35 resident physicians and acts as the liaison between medical coders and providers to assure effective and efficient delivery of documentation and health care services within the Department of Surgery. Duties include reviewing medical records for completeness and accuracy, communicating with providers on delinquent / incomplete documentation, managing inpatient and outpatient work queues, and assisting coders and providers with patient records. Upholds the Department’s best practices, quality, and professionalism standards and policies.

Responsibilities:

  • Assist faculty and staff with answering and / or triaging Epic Inbox messages.
  • May assist outpatient clinic with checking patients in and out, scheduling, and pre-authorization procedures as needed.
  • Utilize Epic Systems to pre-register and schedule patients as needed.
  • Act as back up for prior authorization as needed.
  • Manage and analyze work queues for inpatient and outpatient encounters. Ensure all elements of documentation are present for each encounter.
  • Follow up on delinquent / incomplete documentation. Communicate delinquencies or deficiencies with staff and faculty.
  • Retrieve provider folders from inpatient units and / or the Health Information Management Office, then disassociate, clean, and redistribute them to inpatient units.
  • Manage and coordinate program logistics.
  • Communicate effectively with patients, staff, and clinic service areas.
  • Maintain confidentiality of patient information including electronic data.
  • Provide support as backup for schedulers where needed.
  • Ensure completed FMLA and disability documentation are scanned into patient records as needed.
  • Audit standard reports to ensure patient documentation is completed properly and timely. Review and monitor chart control for efficiency and timely documentation.
  • Review and audit medical records for completeness.
  • Act as liaison between medical coders and providers to ensure documentation efficiency and accuracy.
  • Assist in monitoring, reviewing, and routing clinic notes, operation notes, discharge summaries, and other deficiencies.
  • Assist coders and abstracting services with making corrections to documentation and contacting providers for documentation issues and missing dictation.
  • Provide education and guidance to incoming providers and staff to onboard and understand the documentation process.

Department Summary: The UI Department of Surgery is committed to saving lives and improving our patients' quality of life through excellent surgical techniques and extraordinary patient care. Our surgeons and medical professionals address a wide variety of complex medical issues, from matching donors with recipients in the Organ Transplant Center to providing continuous care for both adult and pediatric trauma victims in the state's only designated Level I Trauma Center and certified regional Burn Treatment Center.

Percent of Time: 100%

Schedule: Monday through Friday, 8:00 am - 5:00 pm

Location: UIHC Main Campus

This position is eligible for hybrid work within Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program related policies and employee travel policy when working at a remote location.

Pay Grade: 3A

Required Qualifications:

  • A Bachelor’s degree from an accredited college or university, or an equivalent combination of education and experience.
  • Experience working independently to manage multiple projects and programs at a time. Ability to assess priorities and set/achieve goals.
  • Demonstrated knowledge of effective strategies for fostering a welcoming and respectful work environment.
  • Demonstrated proficiency in Microsoft Office Suite, including Word, Power Point, and Excel.
  • Demonstrated proficiency in Electronic Health Records and other clinic software.
  • Demonstrated excellent written and verbal communication skills.
  • Strong organizational skills.

Desirable Qualifications:

  • Minimum of 1 year of recent and relevant experience working in a healthcare administrative environment.
  • Familiarity with EPIC.
  • Familiarity with medical terminology.
  • Previous work with insurance prior authorizations, denials, and CPT codes.
  • Previous experience with customer service.
  • Knowledge of University of Iowa policies, procedures, IT services, and standards.
