The finance executive administrative assistant will provide high-level administrative, project management and analysis support to the CFO and other executives in the organization. This role requires exceptional organizational skills, discretion, and the ability to prioritize tasks effectively to ensure seamless operations and support to the executives. The ideal candidate will demonstrative professionalism, efficiency, and a proactive approach to managing complex schedules, communication and administrative tasks in a fast-paced and dynamic environment that requires agility and adaptability.

What Will You Do?

In order to grow and build a successful career with The Toro Company, you will be responsible for:

Calendar Management

  • Coordinate and manage multiple complex calendars for executives, including scheduling meetings, appointments, and travel arrangements.
  • Prioritize and reschedule appointments as necessary, ensuring efficient use of executives’ time.

Communications Management

  • Act as a primary point of contact for internal and external communications, screening, and prioritizing correspondence.
  • Draft and edit emails, memos, presentations, and other documents on behalf of executives.

Meeting Coordination

  • Prepare agendas, presentations, and necessary materials for meetings.
  • Coordinate logistics for meetings, including room bookings, catering arrangements, and technical support.
  • Schedule and coordinate preparation activities for the Board of Directors meetings.

Travel Arrangements

  • Arrange domestic and international travel accommodations, including flights, accommodations, transportation, and visas.
  • Prepare detailed itineraries.

Administrative Support

  • Provide general administrative support, including managing expenses, processing invoices, and maintaining accurate records.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Anticipate the needs of the executives and proactively address any issues or concerns.

Project Assistance

  • Assist with special projects and initiatives as assigned, including research, data analysis and preparing reports.
  • Independently compile data from a variety of resources, analyze and prepare appropriate monthly, annual, and ad hoc reports and dashboards.
  • Support in creation of presentation material and some content creation for projects and Board materials.
  • Collaborate with other team members and departments to ensure projects are completed on time and to a high standard.
  • Perform other duties and projects as requested.


What Do You Need?

To be considered for this role, an individual should meet the following minimal requirements:

  • Bachelor’s degree preferred, but not required, depending on relevant experience. 5-7 years of proven experience as an executive administrative assistant or similar role, supporting multiple executives in a fast-paced environment
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams), internet knowledge and ability to learn internal system applications.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
  • Exceptional organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively.
  • Flexibility to adapt to changing priorities and deadlines.
  • Strong problem-solving skills and the ability to work independently with minimal supervision.
  • Position requires this individual to be fully onsite, with situational flexibility. #LI-Onsite
