What you will do:

This position performs a variety of office administrative support functions requiring independent judgment, research, collection of information/data, preparation, and maintenance of reports, and maintains the confidentiality of sensitive information. Assists with special projects and provides guidance to the administration to ensure deadlines are met and/or targets are achieved.

How you will make an impact:

  • Personnel - Prepares and processes human resource actions in accordance with the State Personnel Rules and Department policies and operating procedures. Provides documents and other related material as it pertains to all human resource actions. Assists with the hiring process by advertising position vacancies and assembling the hiring packets. Schedules/coordinates interviews. Coordinates required background screenings, conducts reference checks and personnel file reviews; Assists in completion of hiring documents; Maintains and files the recruitment and selection package for required retention period.
  • Administrative - Prepares correspondence, reports, memorandums, documents/records staff meeting minutes, and other materials for dissemination. Prepares and submits required security forms to obtain systems access for staff within the administration as directed. Maintains contact lists, appropriate filing or tracking systems, and performs general copying and mail distribution tasks.
  • Customer Service - Keeps management fully informed of activities, pertinent issues, upcoming events, and potential problems.
  • Reports - Develops and maintains tracking systems to ensure completion of assignments. Compile’s information and prepares reports.
  • Assists with routine correspondence preparation, special assignments, research, and report preparation.
  • Performs other related duties as assigned.

Qualifications:

  • Two years of administrative or clerical work experience. College or vocational school can substitute for the required experience.
  • College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience.
  • Vocational/technical training can substitute at the rate of 720 classroom hours for each year of the required work experience.
  • NOTE: Please attach a copy of education documentation, diplomas, certificates, etc., to your application before you submit your application in People First. These documents are required if used to qualify for the position.

Preferences:

  • Experience, education or training in hiring, employee recruitment and selection activities.
  • Experience with DCF HR systems (Footprints), People First Talent Management System, and MS Office Excel and Word.
  • Knowledge of Department of Children & Families’ services related to child welfare, adult protection, economic self-sufficiency, or mental health treatment facilities direct care.

Knowledge, Skills, and Abilities:

  • Knowledge of basic principles of human resources management; Knowledge of effective communication techniques.
  • Ability to research and analyze issues; Ability to utilize problem-solving techniques and make independent decisions in accordance with documented processes; Ability to work independently; Ability to understand and apply applicable rules, regulations, policies, and procedures relating to program functions; Ability to recognize and satisfy customer needs; Ability to organize work assignments; and Ability to handle high-volume workload and multiple assignments.
  • Skill in operating a computer; Skill operating computer software, such as Microsoft Office Excel and Word, and Outlook email.
