Client Relations Manager

Job Summary: As a Client Relations Manager at our accounting firm, you will be responsible for cultivating and maintaining strong relationships with our clients. Your role is pivotal in ensuring client satisfaction, understanding their needs, and aligning our services to meet those needs effectively. You will serve as the primary point of contact for clients, advocating for their interests within the firm while also ensuring that our firm's policies and procedures are upheld.

Duties:

Client Communication and Support:

  • Serve as a liaison between clients and internal departments to ensure seamless communication and collaboration.
  • Address client inquiries promptly, providing assistance with document drop-offs, form submissions, and general information about the firm's services.
  • Resolve client issues effectively to maintain high levels of customer satisfaction.

Administrative Support:

  • Support staff members with administrative tasks, including data entry, document preparation, and record-keeping.
  • Coordinate appointments and maintain staff calendars to ensure efficient scheduling.
  • Manage the front desk area, ensuring cleanliness and organization to create a welcoming environment for clients and visitors.

Client Onboarding and Retention:

  • Oversee the onboarding process for new clients, ensuring a smooth understanding of our services.
  • Implement strategies to enhance client retention and loyalty through regular check-ins, feedback mechanisms, and personalized service offerings.

Account Management and Coordination:

  • Manage client accounts effectively, ensuring accurate and timely delivery of services.
  • Coordinate with various departments within the firm to fulfill client needs across tax, audit, consulting, and advisory services.

Mail Handling and Office Management:

  • Handle incoming and outgoing mail and packages, sorting, distributing, and preparing mail for pickup or delivery.
  • Assist with clerical tasks such as filing, photocopying, and faxing documents to support office operations.
  • Maintain organized and up-to-date filing systems for efficient document management.

Knowledge Management and Client Inquiries:

  • Stay informed about the firm's services and provide general information to clients and visitors.
  • Assist clients with inquiries related to the firm's services, directing them to the appropriate resources as needed.

Phone Communication:

  • Manage incoming calls, providing information, taking messages, and directing calls to the appropriate staff members.
  • Ensure prompt and courteous handling of all phone inquiries to maintain a positive impression of the firm.

Qualifications:

  • Proven experience in client relationship management and administrative support roles.
  • Excellent communication and interpersonal skills, with a strong customer service orientation.
  • Proficiency in office software and equipment, including MS Office Suite and multi-line phone systems.
  • Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
  • Attention to detail and strong organizational skills.

  • Familiarity with basic accounting and financial terminology is a plus but not always required.
