The Servion Group is Hiring a Financial Services Operations Specialist Near Brighton, MN

SUMMARY:

Primarily performs administrative work which includes coordination and implementation of high-level clerical and office support duties such as organizing, scheduling, researching, compiling, processing and maintaining strict confidentiality. Contacts are primarily with members/clients, co-workers and vendors mainly to assist with information exchange, problems solving or requests.

ESSENTIAL RESPONSIBILITIES & DUTIES:

  • Assist Investment Advisors with processing and maintaining investment and insurance accounts such as preparing documents, filing, copying, ordering office supplies and other duties as assigned.
  • Performs necessary functions with investment and insurance planning software programs; Enters data into multiple tracking systems; Scans and catalogues member/client files.
  • Maintains a professional and organized office; Answers phones, greets and directs visitors.
  • Processes and tracks applications for individual members/clients in addition to working with the branch office and applicable insurance companies.
  • Solves member/client problems or determines the best way to solve member/client problems.
  • Compiles information and reports as requested or scheduled.
  • Composes and types routine correspondence, maintains up-to-date files.
  • Ensures that mail is retrieved, sorted and routed to the appropriate individuals.
  • Assists advisors in trade review to be in compliance with FINRA/Sec 211; Gathers suitability requirements; Updates Adviceworks and SmartWorks systems to maintain industry compliance.

ESSENTIAL DUTIES, KNOWLEDGE, SKILLS, ABILITIES:

  • Knowledge of Credit Union and Financial Services Industry.
  • Manage own work flow and resolve questions and problems with supervisor.
  • Interpret various financial investment documents and communicate information in a comprehensible manner.
  • Perform and apply basic math functions.
  • Confidentiality.
  • Reporting, letter preparation and other related communications skills.
  • Proficiency in using and learning Microsoft Office and applicable software.
  • Ability to interpret various investment related documents and communicate information in a comprehensible manner.
  • Ability to comprehend the consequences of various problem situations and to refer such problems to the appropriate individual for decision making.

General:

  • Must work the days and hours necessary to perform all assigned responsibilities and tasks. Must be available (especially during regular business hours) to communicate with employees, customers, managers and any other person or organization with whom interaction is required to accomplish work and company goals.
  • Must maintain courteous, professional and effective working relationships with employees at all levels of the organization, customers, vendors and/or any other representatives of external organizations.
  • Communicate information and state problems or challenges to be resolved in a clear, concise, courteous, nondiscriminatory and professional manner, and be able to provide clarification if necessary.
  • Must be capable of adapting, with minimal or no advance notice, to changes in how business is conducted, and work is accomplished, with no diminishment in work performance.
  • Actively participate in quarterly performance meetings; meet or exceed all performance metrics.
  • Follows company policies and procedures.
  • Perform other duties as required.

REQUIRED QUALIFICATIONS:

Education: High school diploma, general equivalency diploma (GED) or an equivalent combination of education and experience.

Experience:1 year administrative support and 6 months financial services industry training or experience preferred.

Licenses/Certifications: none.

Job Type: Full-time

Pay: $22.00 - $23.80 per hour

Expected hours: 40 per week
