Job Summary:
The Office Manager shall provide excellent customer service and serve as the first point of contact for all individuals seeking assistance. Shall be courteous as they assess needs of others and efficient in referring people to the proper personnel and departments for service. Shall provide an atmosphere of communication with all departments that will allow all programs, social services and ministries to continue running smoothly and efficiently. Shall contribute positively to the ministry environment in attitude and actions.
Essential Duties and Responsibilities:
· Maintain telephone communications handle getting message to the proper departments.
· Handle all walk-in inquiries.
· Organize and inventory office and building supplies for all of the departments.
· Maintain and keep records for all donations, both monetary and gifts in kind received.
· Maintain the statistics for donations given away to clients such as bread and clothing giveaways.
· Handle the receipting of all program service fees.
· Maintain employee payroll paperwork making sure that paperwork is sent in a timely fashion and that all pertinent information is kept up to date.
· Coordinate and assist the case worker, on a limited basis, to maintain casework services during high volume activities, such as project bundle up, Christmas distribution and Summer Camp applications.
· Act as the substitute case worker when the case worker is out of the building.
· Coordinate with the janitor to maintain the cleanliness of the building including classrooms, storage areas, the food pantry and food storage areas.
· Coordinate with the Corps officer on ordering those supplies needed to maintain all programs, social services and ministries.
· Be responsible for mail pick up and drop off. Check P.O. Box on a regular basis
· Assist Corp Officer, on a limited basis, to maintain records and reports during high volume activities, such as kettles, after school and summer day camp.
· Coordinate with the case worker, janitor and corps officer so that everyone is kept informed as to building use and special needs so that all programs, social services and ministries will run smoothly within the same building.
· The above duties and responsibilities are not all inclusive and may be modified to include other job-related duties at the discretion of the supervisor.
Additional Responsibilities:
It is understood that the Office Manager may, when appropriate, delegate the following tasks to volunteers:
· Preparing and serving the community through food and clothing giveaways.
· Maintaining statistics for donation giveaways.
· Handling phone calls during the Christmas season or other high volume time periods.
· Finding volunteers to assist the janitor in the cleanliness of the building.
Knowledge, Skills and Abilities:
· Ability to effectively use a computer, related software programs Microsoft, Excel, Power Point, and office equipment.
· Ability to work on multiple projects and to prioritize accordingly.
· Ability to interact and communicate effectively on the phone, with employees, and clients.
· Must be flexible to the changing needs within the building and during specific times of the year.
· Must have good organizational and time management skills
· Work with limited supervision.
· PA Mandated and Permissive Reporting and The Salvation Army's KeepSafe training required.
Education and Experience:
· High School Diploma
· At least 1 to 2 years of experience in customer service, office management or reception.
· Valid PA Driver’s License
