Deputy Chief Operating Officer

Annual Salary Range: $100,000 - $120,000 

The Quad Preparatory School is searching for our next Deputy Chief Operating Officer. This is an C Suite track position with regular and frequent interaction with the Executive Leadership Team of the School, including the Chief Operating Officer, Head of School, the school’s operations and security teams, and the school’s faculty and staff. This position offers a combination of tactical, supervisory, strategic and organizational responsibilities.

THE QUAD PREPARATORY SCHOOL (Quad Prep) is an independent, not-for-profit K-12 school dedicated to the education of neurodistinct students in grades K-12. Specifically, the school works with twice-exceptional students, who are cognitively gifted and whose learning differences make success in a traditional school environment impossible. Quad Prep’s mission also actively supports work in advancing the futures of neurodistinct people by sharing thought leadership nationally and worldwide. We are committed to sharing our practices through speaking engagements, publications, our annual 2e conference, our paradigm shifted 2e training programs and our partnerships with colleges, businesses and other thought leaders in the Neurodiversity movement.

Responsibilities

Strategic Operations Office

Serve as a thought partner and strategic advisor to the Chief Operating Officer (COO) , standing in on meetings and providing analysis, recommendations, and options to the COO for high impact decisions, and following up on action items with the team accordingly.

  • Provide counsel, research, and thought partnership for emerging projects/projects in formulation.

  • Acts as an extension of the Chief Operating Officer and information funnel, filter, and facilitator with internal and external stakeholders.

  • Track high priority initiatives for the Chief Operating Officer to identify any potential obstacles.

  • Lead cross-functional strategic initiatives, facilitate special projects, and ensure action items are executed on behalf of the Founder.

  • Build and run cadence for leadership meetings, and leadership offsites, including structuring and helping to deliver company-wide communication. Support board and board committee meetings as requested.

  • Build and run cadence for operations/facilities/security/administration meetings, assist COO in management of administrative staff.

Governance

Support the Chief Operating Officer in the management of the Head of School office and Board of Directors, including official communications, facilitating board and committee meetings, recordkeeping, and ensuring compliance with Quad Prep's bylaws. 

Entity Management

Support the Chief Operating Officer to maintain and keep current all documents, filings, and other reports as related to NYS and Federal charters, tax exemptions, and registrations. Interact with NYC Department of Education and NYS Education Department as necessary, manage the collection of data for annual BEDS and DASL filings.

Student Enrollment and Tuition Accounts Receivables Management

  • Formulates forward-thinking, strategic application of enrollment policies.

  • Oversees enrollment of new and returning students.

  • Maintains family, faculty and various other databases.

  • Collaborates with the CFO and finance manager on all Tuition Accounts Receivable and monthly reports for Founder and Head of School and Board.

  • Researches and proposes ideas to increase timely tuition payments and reduce financial risk.

  • Along with ETeam members, as directed, communicate with parents, attorneys, outside providers and all school constituents with the goal of exemplary customer service.

Human Resources 

Culture and Employee Relations

  • In consultation with COO and Assistant Head of School, take the lead on internal investigations of employee behavior and actions, and implement plans that come out of investigations

  • Coordinate investigations with outside investigators when necessary. Support opportunities for meaningful staff engagement and feedback, and implement plans that come out of investigations.

  • Support mechanisms for staff and peer recognition and support.

  • Support an organizational “coaching” culture to enhance development opportunities for Quad Prep staff and management.

  • Support diversity, equity, inclusion, collaboration, and cross-organizational communication to ensure a culture that is mission driven, exemplary, flexible, responsive, and resilient.

Recruitment/Onboarding

  • Oversee full recruitment cycle, ensuring Quad Prep's values and culture are represented in all candidate interactions.

  • Oversee staff onboarding process, procedures and materials.

Management/Benefits Administration

  • Oversee human resources functions to enhance organization alignment, training, employee development, compensation and benefits, employee relations, performance evaluation, recruiting and onboarding.

  • Periodically review compensation and benefits philosophy periodically to ensure our “people objectives” are being met.

  • Ensure compliance with all local, state, and federal regulations.

  • Partner with PEO to ensure all payroll, leave of absence, and benefits are properly administered.

  • In consultation with the COO, directly supervise the Human Resources Manager and Human Resources Associate.

Professional Development

Facilitate professional development opportunities for administrative staff.

Information Technology

  • Work with leadership to ensure that the school has a fully functioning technology infrastructure, including appropriate backup/emergency mechanisms.

  • Work with the IT Manager to evaluate current IT infrastructure and IT related policies against the business needs of the organization; identify, prioritize, resource and manage new initiatives that will modernize IT, optimize resources and improve overall IT services across the organization.

  • Ensure necessary security systems for employee, student information, and data.

Facilities Management and Operations

  • Maintain and improve a facilities maintenance and upgrade program that ensures adequate facilities for the delivery of all Quad Prep's programs and services.

  • Oversee compliance with all security life-safety requirements, including drills and staff training.

  • Utilize professional resources to maintain the highest levels of security and safety, in coordination with Quad Prep's leadership.

  • Act as the primary point of contact for landlords, and external vendors as needed.

  • Evaluate and upgrade current purchasing staff, processes, establish policy and the required processes and systems to support the procurement policies of the organization.

  • Ensures school-wide compliance with health and safety laws, charter contracts, state education mandates, teacher certification, and all federal and state workplace regulations.

Supervise School Nurses and Consulting Managing Nurse.

Compensation and Benefits: 

Compensation is dependent upon experience and degree obtained. 

Required Education and Experience:

  • Minimum of ten years of experience, with prior experience in a nonprofit educational setting A . We are willing to train a candidate who comes with strong leadership, management, business, and operational skills/experience from another industry.

  • Preferred Education and Experience: 

  • Proven strong judgment and decision-making abilities.

  • Ability to balance the successful delivery of quality programs against the realities of a budget. 

  • Experience in creating protocols and streamlining processes that will help ensure the organization runs smoothly. 

  • Experience leading, inspiring, and persuading others across the organization to new levels of effectiveness and operational impact. 

  • Ability to prioritize shifting responsibilities in a fast-paced environment. 

  • Ability to establish and maintain effective working relationships with employees, families, and other stakeholders. 

  • The ability to write with simplicity, clarity, and succinctness.
