Mosaic CoWork AssistantThe Mosaic Group is seeking a friendly and detail-oriented person for our Mosaic CoWork Office in Fort Lauderdale as a CoWork Assistant. 
As a CoWork Assistant, you will help grow the CoWork office space by creating great member experience while executing operational tasks with excellence. This is your opportunity to take ownership and responsibility of a mission-driven business with the complete support and experience of The Mosaic Group. There is opportunity for growth in this position.
CoWork Assistant responsibilities include:
  • Create a friendly environment to facilitate high member satisfaction.
  • Promote the coworking space values.
  • Support community initiatives to create connections between members of different organizations. This should include running networking events, managing communications within the space both in person and virtual.
  • Seek out information about the business and personal objectives of the CoWork members.
  • Foster a sense of inclusivity where fresh ideas are welcome.
  • Be knowledgeable about membership agreement and guidelines, as well as federal, state, and local laws that manage the work environment. Explain these policies to members, as necessary.
  • Oversee new member onboarding and exit of the CoWork space.
  • Maintain CoWork membership platform.
  • Ability to work independently.
  • Maintain an excellent attendance record. 
Business Development:
  • Be responsible for setting and achieving sales objectives, membership rates, and pricing
  • Conduct tours for prospective members
  • Engage with the local community by attending relevant events they are hosting
  • Ensure that new members will fit with coworking space’s culture dynamics and mission
  • Maintain a positive relationship with key vendors and our landlord
Facilities and space management:
  • Manage all building operations to the satisfaction of members
  • Maximize uptime and availability of key facilities assets like the Wi-Fi, printers/copiers
  • Keep members aware of facilities issues that may impact them
  • Make recommendations to the team about new features or perks that will entice members
  • Submit maintenance tickets for repairs to the facility and key equipment
  • Ensure cleaning and maintenance to the office is conducted 
  • Be aware of local laws and regulations as they pertain to member safety and emergency preparedness
Experience and Requirements:
  • 2-4 years’ experience with increasing responsibility in either a sales or customer service role
  • Demonstrated project management skills
  • Highly technically capable. Able to understand and work with the variety of hardware and software applications that our space depends on
  • Passion for the entrepreneurial community
  • Interest in working independently with only occasional interactions with the owners
  • Fluent in English. The ability to speak an additional language is a plus.
  • High-level ethics, empathy, and dependability
Physical Demands and Abilities - Regularly perform the following:
  • Spend long hours sitting and using office equipment and computers.
  • Move from sitting to standing positions effortlessly.
  • Spend long hours in intense concentration reviewing and entering information into a computer.
  • Work on projects that require deadlines.
  • Occasionally lift 5-10 pounds. 
  • Utilize personal auto for business purposes and maintain a valid driver’s license.
Education/Knowledge/Skills & Abilities: 
  • Bachelor's degree from a four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
  • 3-5 years experience in high-level administrative assistant roles with executive team support experience
  • Microsoft Office Suite; Outlook, MS Word, PowerPoint, Excel, Google Docs, and other software (expert level).
  • Proven ability to recognize and maintain all information as confidential and sensitive.
  • Some knowledge of human resources is helpful.
  • Consistently present yourself in a professional and approachable manner.
  • Excellent verbal and written communication skills.
  • Detail and deadline-oriented multitasker skills.
  • Ability to make firm decisions under pressure.
  • Strong organizational skills.
  • Customer service experience preferred.
