The Metis Foundation is Hiring a Grants and Contracts Assistant Manager Near San Antonio, TX

Job Description:

The Grants and Contracts Assistant Manager will report to the Senior Grants & Contracts Manager to manage grants throughout their life cycle and ensure proper due diligence for all grants and contracts. The assistant manager will research funding opportunities, and monitor grant, and contract budgets, reporting dates, and renewal dates for all of the Metis Foundation grants and contracts. The assistant manager will work with the finance team, project managers, and supervisors to ensure that grants and contracts meet their goals, deadlines, and budget requirements.

Organization Summary:

The Metis Foundation strives to advance military medicine through providing scientific, educational, financial, and project management support in the conduct of federally and privately sponsored research, clinical trials, and education. We owe many breakthroughs in healthcare to people dedicated to research. There is, however, decreasing interest secondary to fiscal and financial constraints. Talents are lost, especially among young researchers and clinician-researchers. We were created on behalf of these researchers, and it is our mission to see these researchers flourish and advance military medicine. We were founded to see a change in the lives of those who improve the lives of patients.

Position Summary:

The Grants and Contracts Manager will identify new sources of funding, manage overall grant efforts, ensure compliance with grant regulations, review grant proposals, manage grant database, educate staff on grant and contract expectations, and assist with financial reporting.

Key Duties and Responsibilities:

  • Comply with all grant reporting as required by foundation/corporate donors/funding agencies to comply with grant regulations.
  • Work with our finance department to gather information necessary to report to the funding agency on current grant programs.
  • Understanding of institutional history, programs, and award management monitoring.
  • Maintain current records in a database and in paper files, including grant tracking and reporting.
  • Maintain internal records of grant applications and information, including budget details, and budget justifications.
  • Manage workflow process for all types of foundation grants and contracts, ensuring impeccable timeliness and accuracy of all relevant data fields.
  • Coordinate with program managers and supervisors to create fastidious and timely reports as designated by requirements of the grant or contract.

Implement and maintain new grants management software; master and manage software to meet requirements and ensure data integrity, ensure program managers supervisors, and other relevant staff are properly trained.

  • Develop, maintain, and ensure proper grants management procedures are in place and consistently followed, including but not limited to due diligence procedures, grant reporting, award letters, grant agreements, and procedures to ensure the availability of funds.
  • Oversee nonstandard grant transactions and anomalies related to grantmaking.
  • Coordinate and collaborate with other internal teams, including the finance/accounting, program, and development departments.
  • Be the primary contact for contract and grantee relations and provide assistance with the grant negotiation phase to obtain grants. Assists with the preparation of budgets and budget justifications during the grant negotiation phase.
  • Correspond with administrators from other institutions and federal sponsor contacts.
  • Review grant reports, and grantee award letters
  • Oversee and ensure all multi-year grants are entered and tracked appropriately.
  • Submit invoices to federal agencies for approval and save copies of invoices in file for record keeping.

Required Knowledge, Skills, and Abilities:

  • Ability to understand the needs of both the agency in need of funding and the organization that is offering the grant money.

  • Experience working in deadline-driven environments.
  • Able to work well in a team environment, handle multiple assignments, and meet deadlines.
  • Able to monitor and meet income goals.
  • Mathematical literacy and mastery of basic accounting concepts
  • Strong skills in managing processes, and timelines.
  • Proven ability to track and manage several projects and processes simultaneously.
  • Highly effective oral and written communicator with the ability to adapt to a wide range of communication styles.
  • High level of demonstrated accuracy.
  • Exceptionally motivated, organized, and detail-oriented; team player with a willingness to help where required.
  • Ability to work both under supervision and independently.

Minimum Education: Bachelor’s degree in a related field with 1 year of Grant Management experience.

Work Environment: Hybrid, work from home and office: 3 days work from home and 2 days in the office.

Please note: Hybrid schedule may vary during the first 6 months to a year of employment depending on training status. In-office days should overlap with the Grant & Contracts Manager schedule on Mondays, Wednesdays, and Fridays for training purposes
