Essential Functions:
· Assists property manager and collaborates with administrative staff to complete administrative duties.
· Prepares, posts, verifies, and records tenant payments and transactions.
· Creates and distributes tenant invoices.
· Maintains and updates tenant files, including name or address changes, mergers, or mailing attentions.
· Drafts correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent tenants to request payment.
· Creates reports regarding the current status of tenant accounts as requested.
· Research tenant discrepancies and past-due amounts with the assistance of the property management and/or accounting staff.
· Collaborates with accounting department to reconcile revenue accounts each month.
· Copies, files, and retrieve materials for tenant accounts as needed.
· Tenant Relations: Building and staff communications, radio communication, maintain tenant access lists, event planning and promotion, assist in all general office duties involved in maintaining service to the tenants and ownership. Manage monthly tenant events to include ordering, set-up, budgeting, and tenant relations.
· Oversee and manage MRI work order software program including, but not limited to, tenant requests/complaints, schedule applicable service, assist in maintaining day porters schedule, follow up with tenants to ensure completion and satisfaction.
· Building walk-through weekly to inspect and ensure building standards are being achieved.
· Building Signage: Assist in maintaining common areas and multi-tenant floors.
· Cardkeys and Building Security: Program building access cards, review security reports and follow up with issues or concerns, maintain security forms and schedule.
· Administrative: Answer phones, greet visitors, create, and maintain building manuals, and other errands, assist with reporting, manage tenant and vendor certificates of insurance, maintain contact lists (staff, tenants, vendors, etc.), create and maintain building files both electronic and hard copies, order office supplies and materials.
· Oversee and schedule:
o Appointments and maintaining calendars.
o Schedule and set up conference rooms for internal and external meetings, including preparing agendas and handouts, and/or taking meeting minutes.
o Manage and distribute Building Schedule daily.
o Oversee parking tickets and validations.
· Special projects as needed.
· Ability to learn on the job.
