About being a Administrative Manager at Easterseals Redwood: Building Value is a social enterprise of Easterseals Redwood with a mission to accelerate life-changing careers in construction for people facing employment challenges. Our teams deconstruct and salvage reusable building materials for resale to the public, at our retail store in Northside. Our efforts and proceeds support the Building Value and Easterseals Redwood mission of helping individuals build sustainable employment, while also helping the environment, reducing the cost of disposal, and giving architectural gems a second life. We are seeking an experienced, highly organized, and proactive Administrative Manager to join the staff of Building Value. The right candidate will have extensive office management experience (ideally in a construction or trade business), excellent communication skills, strong attention to detail, and the ability to multitask and switch gears effectively in a fast-paced environment. While their work will mainly support the Director and Deconstruction Manager, the Administrative Manager works as a member of the management team and will take ownership of coordinating communication, office procedures, and administrative responsibilities for the entire business.
Administrative Support
Sort and respond to email, voice mail, and physical mail. Serve as a point of contact for clients, vendors, and program participants, ensuring timely and professional communication.
Schedule appointments, manage calendar, assist with document preparation and provide administrative support to the Director.
Coordinate employee HR document needs, including review and approve of timecards
Assist with maintaining a supportive workplace culture by coordinating team building events.
Construction/Business Development Support
Prospect and client communications including appointments, bids, contracts, project scheduling, follow-ups, and invoicing
Maintain consistent and accurate data in proposal/project database status.
Maintain filing system for potential client bids, proposals, and client invoices.
Assist with maintain Deconstruction and Hardscape workflow calendar.
Manage administrative support services for projects such as: permitting, street closures, dumpster rental, and other onboarding needs.
Work as part of team with Director and Deconstruction Manager to create and codify a consistent and efficient workflow for sales process, from bid through project execution, invoicing, and close out.
Office Management
Oversee day-to-day office operations. Ensure that office supplies, work wear, PPE, and equipment are inventoried, kept in stock, and maintained in good working order.
Invoice creation and management.
File management.
Assist team members with expense tracking.
Manage insurance claims.
Review and approve company invoices for payment.
What Easterseals Redwood needs from our Administrative Manager:
Bachelor’s degree, in business administration or related field preferred. Additional experience can be substituted for education.
5-10 years of experience in office management roles, preferably in the construction industry.
Strong organizational skills and the ability to prioritize tasks effectively.
Excellent written and verbal communication and interpersonal skills, with the ability to interact with individuals at all levels.
Proficiency in Microsoft Office Suite and the ability to quickly learn relevant software applications.
Knowledge of basic bookkeeping principles and experience with financial management tasks.
Ability to work in a fast-paced environment, adapt to changing priorities, and work well under pressure.
Attention to detail and a high level of accuracy in all tasks.
A very high level of integrity, accountability, discretion, initiative, and professionalism.
Ability to meet background check requirements and supply required documentation as outlined by EASTER SEALS REDWOOD policies.
