The Magnolias at Lansdowne Woods of Virginia is Hiring an Assistant Manager Near Leesburg, VA

POSITION SUMMARY:

The purpose of the Assistant Manager’s position is to assist the Association Manager in all areas of the condominium association/building management and to ensure that the best interests of the Board, residents and owners are achieved. This includes performing research, compiling reports, resolving complaints and preparing all documents required for operation of the condominium where appropriate, and conferring with the Association Manager.

EDUCATION/EXPERIENCE/SKILL REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each requirement and qualification satisfactorily. The requirements listed below are representative (but not exhaustive) of the knowledge, skill, and/or ability required:

· Previous community association or customer service experience.

· High School diploma or equivalent; Associates Degree a plus.

· CAI course work or CMCA designation a plus.

· Familiarity with automated financial reporting systems.

· Computer literacy necessary.

· Must be punctual, dependable, and reliable.

· Working Knowledge of Strongroom, BuildingLink preferred.

· Professional and pleasant communication and interpersonal skills.

· Strong time management skills.

· Ability to work both independently and as a team member.

· Must pass background check and drug screen.

MAIN JOB TASKS AND RESPONSIBILITIES\ ESSENTIAL FUNCTIONS:

· Assist the Association Manager in all functions.

· Answer telephone calls and take messages.

· Provide support in the event of the Association Manager's absence, such as owner and Board member requests; serve as a contractor liaison.

· Prepare correspondence and prepare for mailing with a high degree of accuracy and professional appearance.

· Coordinate all large mail outs.

· Assist in proofing material/correspondence.

· Create notices as necessary, including but not limited to weather warnings, emergency procedures, board meetings, committee meetings and any other type of notices needed.

· Create and update all calendars.

· Prepare and assist in Annual Meeting and events.

· Maintain and order all office supplies.

· Assist the Association Manager by ensuring that buildings and grounds are maintained according to the standards established by the Board of Directors.

· Receive and accurately code all invoices received at site. Once coded, invoices are to be turned over to the Association Manager for signature and processing.

· Assist the Association Manager in accordance with policies established by the Board of Directors and legal counsel.

· Maintain good resident relations with all residents, whether owner or tenant, through responsive service, positive written communication and ensuring strong "customer service."

· Assist the Association Manager monitoring the performance of contractors and vendors.

· Follow established office procedures. Ensure the accurate administration of all unit owner files and associated file maintenance.

· Assist the Association Manager by being familiar with all contracts and helping to ensure compliance with contracts.

· Assist the Association Manager to achieve a stable, smoothly functioning and successful Association.

· Attendance at meetings during business hours. Meetings may include Board meetings, committee meetings, annual meetings, budget meetings with owners, special meetings with owners/residents regarding special projects, etc.

· Maintain records of the meetings/serve as recording secretary.

· Respond to telephone inquiries regarding condominium fee accounts.

· Assist with research for board packets.

· Other duties as assigned and necessary for the operation of the condominium association.

Individual is compensated hourly and may be required to work more than thirty-seven and a half (37.5) hours in a work week, as the demands and requirements of this position may change and fluctuate. The hourly rate paid for this position is intended to cover all hours worked, excluding any overtime.
