Office Manager

Position Classification: Employee; Part-time, Non-exempt

Days/Hours: Monday-Friday/25 hours per week

Reporting Location: The Kingdom Church – West Campus

Salary Range: $15-$20/hour

Overall Responsibilities

The Office Manager manages the church’s administrative office in an efficient manner; facilitates clear communication between the Executive Manager and the office staff. The Office Manager is responsible for maintenance of the office’s computer, phone, and internet systems. The Office Manager oversees the purchasing process and works closely with the accountant

LIST OF JOB RESPONSIBILITIES

  • Update and maintain office policies and procedures such as handling phone calls, greeting guests and vendors, training for use of office equipment
  • Manage customer complaints and grievances
  • Assist other departments with printing requirements for all publications (as needed)
  • Prepare publications for mailing and deliver them to the Post Office for mailing.
  • Maintain awareness of Post Office requirements regarding bulk mailings
  • Write and distribute email, correspondence, memos, letters, faxes and forms for office purposes
  • Collaborate with Marketing Coordinator on issuing content updates to the editors of TKC’s website, app, and social media accounts
  • Oversee the printing of TKC stationary, business cards and giving envelopes for all campuses
  • Answer the telephone and receive visitors in a friendly, courteous manner
  • Order office supplies
  • Manage relations with suppliers and service vendors
  • Ensure order and neatness in the church office performed by others
  • Oversee the maintenance of all office equipment and computer systems
  • Ensure maintenance of all office equipment
  • Manage all A/P and A/R filing and processing (both paper and electronic on Dropbox)
  • Complete vendor credit applications
  • Complete TKC’s organizational local and state filings, sales and property tax exemption, annual state sunbiz.org
  • Complete various organization applications
  • Coordinate and process payment requests according to the procurement processing
  • procedures. Issue requests to the bookkeeper and follow up on status
  • Sign and prepare checks for mailing (as required)
  • Research payment issues
  • Oversee the budget and purchasing process for office supplies, events, and celebrations
  • Assist with distributing the tax documents for employees and independent contractors at the end of the calendar year
  • Monitor and maintain Internet service and software licensing for office devices
  • Oversee services of IT company (if applicable)
  • Assist the church in special projects. Responsibilities would include, but are not limited to, composing letters, coordinating mailings, setting appointments, and doing research
  • Prepare clerical assistance to church ministries (as needed)
  • Perform routine and non-routine administrative duties (as required)
  • Provide notary services
  • Ensure that mail is checked, processed, and distributed
  • Oversee office celebrations, events, birthdays recognitions
  • Attend weekly staff meetings and staff devotions, monthly meeting with Lead Pastor
  • Attend staff trainings

Minimum Qualifications

  • Bachelor degree in Finance, Accounting, Business, or Financial services related study (preferred)
  • High school diploma or GED equivalent (required)

Job Type: Part-time

Pay: $15.00 - $20.00 per hour

Expected hours: No more than 25 per week
