Role Summary:
Reporting to the Talent Acquisition Manager, the Talent Acquisition Coordinator is a key member of the Human Resources Team. The Talent Acquisition Coordinator will be responsible for assisting the Talent Acquisition Specialists and Hiring Managers with tasks and activities throughout the hiring lifecycle such as leading screening and interviewing logistics, tracking candidate progress in applicable recruiting systems, initiating, and managing the background verification process of candidates, resolving issues, and creating/maintaining talent acquisition documentation. In addition, the Talent Acquisition Coordinator will facilitate the temporary associate hiring process. This position demands an outstanding ability to deliver quality work while juggling multiple responsibilities and always maintaining confidentiality and professionalism.
Exciting work you will do:
The essential duties and responsibilities of the Talent Acquisition Coordinator will consist of, but are not limited to, the following:
  • Provide excellent service to hiring managers, talent acquisition team members, and a great experience to candidates by remaining attentive and responsive
  • Coordinates and/or conducts full cycle talent acquisition and hiring process for full-time, part-time, and temporary warehouse associates or non-management positions at one or more location(s), including phone screening, interview scheduling, applicant disposition, and processing hires
  • Partner with Talent Acquisition Specialists to support the talent acquisition efforts
  • Participate in pre-interview activities to schedule candidates, ensure hiring managers complete evaluation forms, and ensure proper follow-up with candidates
  • Coordinates onboarding including completing drug testing and background checks, notification to hiring managers, sending new hire welcome letters, scheduling orientation, and notification to internal support teams such as HRBP’s and ensuring the proper information is entered on the IT new hire set up form
  • Coordinates with hiring managers and Human Resources Business Partners (HRBP) to ensure office or work areas are set up and ready to go prior to start dates
  • Ensure timely and accurate data entry such as documenting notes, updating statuses in the recruiting tool, updating spreadsheets, creating/maintaining job files, and completing weekly reports
  • Coordinates Summer/Seasonal hires including sourcing, hiring, and evaluating progress
  • Monitor the completion of tasks related to the electronic Onboarding process, ensure I9 and E-Verify completion—keep managers informed of the timeline and escalate to the HRBP as needed
  • Administrator for Applicant Tracking System, Background Screening, and drug screening services
  • Temporary employee liaison:
    • Coordinate temporary agency contracts, negotiations, approvals, and legal review
    • Review temporary agency fulfillment success rates, quality of hires, analytics
    • Process temp to hire positions: track hours, monitor hire-on dates, coordinate hiring process
    • Work with HRBP’s for any temp issues and communication to agencies
    • Ensure proper safety training is completed and onboarding for all temporary new hires
  • Prepares talent acquisition analytics of time to fill, retention, turnover and open positions
  • Backup for front-desk receptionist
  • Assist owner-associates with internal online applications, sign-in and password reset
  • Perform other duties as assigned

What you’ll need:
  • Work Experience: 2 years of recruitment coordinator or related experience
  • Education: High School Diploma or GED
  • Analytics/Computer Skills: Critical thinking and an eye for detail; competent with MS Office and Excel
  • Organization Skills: Highly organized and detail-oriented; ability to multi-task and shift priorities as needed; ability to work in fast-paced, continuously evolving, and at times ambiguous environment
  • Cross-functional skills: Capable of relationship-building, negotiation, problem-solving and follow through with internal and external partners
  • Communication Skills: Ability to communicate well with all levels of the organization; high degree of discretion when dealing with sensitive and confidential information
  • Physical, Mental and Visual Skills: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to sit, talk and hear. The employee must be able to sit for up to 8 hours per day.
  • Physical Environment: Normal office environment, occasional exposure to warehouse and fabrication environments

Qualifications we prefer but don’t require:
  • Work Experience: 2 years’ experience in recruitment coordination within a distribution or fabrication organization
  • Analytics/Computer Skills: 2 years’ experience using an applicant tracking system
