Parts & Accessories & Apparel Buyer (P&A&A)

Responsibilities

This position is responsible for ordering parts, accessories, and apparel for The Hub Bike Co-op’s Minnehaha Ave shop location, and is part of the Ordering & Receiving (O/R) Department. It involves all aspects of Parts & Accessories & Apparel (P&A&A) at The Hub: ordering, receiving, warranty, introducing new products, providing product & sales training, etc. This position works with the Service and Front End Departments to determine ordering needs, and is responsible for maintaining correct processes for inventory in our point of sale (POS) system. This is a full-time, year-round position with the expectation that 20-24 hours a week are spent on P&A&A tasks, with the remainder of the hours worked in the Front End or Service Department.

Duties

  • Order parts, accessories, and apparel from approved vendors for all locations.
    *Create Purchase Orders (P.O.s) for all orders *Work with the Minnehaha Service Coordinators and Oak Street Operations Coordinator to complete orders for small parts and components at all Hub locations *Coordinate with Service Department to order parts needed for repairs *Prepare easy-to-read reports on parts, accessories, and apparel sales, and use this data to determine stock levels and to keep product apparel selection relevant to the local needs and industry trends *Work with Ordering & Receiving (O/R) Department to get major pre-season orders approved prior to purchase
  • Receive P&A product
    *Note vendor errors on orders, and communicate with vendor representatives to reconcile errors on The Hub’s behalf *Bottomline the organization and backstock of all product purchased *Hand off received products to Front End staff for restocking the sales floor
  • Maintain knowledge of manufacturers' warranty policies
    *Return items to manufacturers or distributors that fall under warranty *Work with Department Coordinators to keep staff educated on warranty policies *Communicate warranty process and coverage to customers *Communicate in a professional manner with representatives from each vendor
  • Maintain the Order Book spreadsheets and provide annual staff training on how to use it
  • Work with Front End staff to place special orders
  • Communicate new product updates with staff
    *Organize and provide product training to staff *Attend industry trade shows and report back to O/R about new products and trends
  • Coordinate with O/R and Marketing Committees to move old inventory and facilitate closeouts and sales
  • Maintain appropriate margins and selection for parts, accessories, and apparel; ensure that any applicable budgets are being met
  • Work with Hub Finance Coordinators to ensure that products are appropriately taxed
  • Work with the O/R Department to create and maintain accurate and current SKUs for parts, accessories, and apparel, especially maintaining category and subcategory continuity
  • Increase efficiency in O/R processes
  • Share responsibilities for management of online sales with other O/R Coordinators, including:
    *Fulfill online purchases and returns *Assist with Online Sales customer service and questions *Maintain an accurate catalog of brands and products that are available for online sale, ensuring that inventory is accurate, and prices up to date
  • Arrange for transfer of product between stores when necessary

Desired Qualifications

  • Experience in purchasing, receiving, and inventory work
  • Organized and detail-oriented
  • Ability to prioritize tasks, and work independently and efficiently
  • Ability to have candid conversations with co-workers, and maintain an open and respectful work environment
  • Minimum 3 year bike shop and/or sales experience
  • Knowledge of bike components, accessories, and apparel
  • Comfortable using Microsoft Excel and Google Workspace
  • Experience with consensus decision making
  • Spanish, Somali, Oromo, and/or Hmong language skills a plus

Time Expectations

  • Position is full time (32-40 hours/week) and year round:
    *20-24 hours/week fulfilling Buyer responsibilities. Remaining hours are floor shifts in Sales or Service Department (depending on skill set) *Attend and report at monthly General Meetings (1.5 hours/month) *Attend monthly Service or Sales Department meetings (1.5 hours/month) *Attend and report at monthly Ordering/Receiving meetings (1.5 hours/month) *Attend monthly Finance meetings (1.5 hours/month)
  • Occasional overtime in summer season (March - September)

Compensation

  • This position qualifies as Level 4 on The Hub’s Wage Scale due to the significant financial responsibility. Minimum $18.75/hr with consideration for experience
  • PTO plus the flexibility to request additional unpaid time off

  • Paid parental leave available after 1250 hours worked
  • Option to apply to become a Worker-Owner after 1000 hours worked, which includes access to subsidized health insurance and annual patronage dividends

Available shifts and compensation: We have available shifts all days of the week. Compensation is $18.75 - $28.50/hour.
