Bike Buyer & New Bike Warranty Coordinator

Responsibilities

This position is responsible for purchasing, receiving, and maintaining new bike inventory and managing warranty issues with new bikes. The Bike Buyer utilizes past bike sales reports and future trends to develop the Hub’s seasonal bike spread. This role works collaboratively across departments to generate bike sales & move inventory. The role requires active communication to develop positive relationships with co-workers, customers, and vendor representatives.

Duties (Bike Buyer)

  • Develop annual bicycle product spread (inventory offering)
  • Present bike spread to Worker Ownership and obtain consensus for bike spread
  • Order all new bikes according to approved bike spread
  • Analyze market trends, past sales, new & developing technologies; utilize staff/customer feedback to develop a proposed preseason list for approval by Ownership
  • Prepare seasonal bike line training series for staff
  • Assist customers in special ordering bikes
  • Receive and backstock bike inventory and special orders
  • Maintain a clear and understandable backstock system for new bikes
  • Forecast bike needs and keep the sales floor stocked
  • Work with Finance Coordinators to create and maintain annual budget for bicycle sales
  • Ensure clear communication between Ordering/Receiving (O/R), Service, and Front End, and serve as liaison about build needs, quality, and efficiency
  • Collaborate with Service Coordinators and Internal Operations Coordinator to determine labor needed to execute weekly bike build list
  • Schedule and coordinate bike inventory counts, including year-end inventory
  • Work with O/R and Marketing to strategically maintain bike sales
  • Communicate new bike product sales to Front End department
  • Collaborate with Front End staff and Marketing Coordinator regarding merchandising and floor strategies for bike display & layout implementation
  • Maintain bike margin targets and adhere to applicable budgets
  • Work to increase efficiencies in ordering and related tasks
  • Prepare bi-annual bike sales reports and present the summary to the Worker Owners
  • Maintain up-to-date vendor information files
  • Attend vendor trade shows, test ride potential bikes for The Hub's bike line, and present candidates to Ownership
  • Share responsibilities for management of Online Sales with other O/R Coordinators, including:

○ Fulfill online purchases and returns

○ Assist with Online Sales customer service and questions

○ Maintain an accurate catalog of brands and products that are available for online sale, ensuring that inventory is accurate, and prices up to date

○ Arrange for transfer of product between stores when necessary

Duties (New Bike Warranty Coordinator)

  • Create and maintain an organized, intuitive system for dealing with warranty bikes
  • Communicate with the Parts and Accessories buyer on issues pertaining to individual components (especially relaying continuing product failures)
  • Communicate in a professional manner with warranty representatives from each company
  • Make sure new bike warranties are filed and followed up on in a timely manner
  • Use Lightspeed to record warranty issues on Hub bikes
  • Collaborate with Service Coordinators to Organize training for service staff on taking in warranty bikes
  • Implement a system to track Hub warranty bikes that allows data to be collected easily

Desired qualifications:

  • Experience in ordering and receiving
  • Organized and detail oriented
  • Proficient in the following programs: Excel, Word, Google Suite
  • Good communication skills
  • Ability to prioritize tasks and work independently
  • Ability to have candid conversations with co-workers and maintain an open and respectful environment
  • Self-motivated individual with excellent time management skills and a focus on efficiency
  • Passion for bikes and interest in learning about new technologies and trends
  • Understanding of basic bicycle mechanics, components, and technologies
  • Management/supervision experience preferred
  • Minimum 5 year shop experience
  • Ability to discern customer needs and communicate respectfully with customers via email and in person
  • Ability to negotiate with vendors for the best interest of the Hub

Time Expectations:

Position is Full Time (32-40 hours/week) and year round:

  • Approximately 20 hours/week fulfilling the Bike Buyer position's roles and responsibilities. Remaining hours are floor shifts in the Sales or Service Department (depending on skill set).
  • Attend monthly general meetings (1.5 hrs/month)
  • Attend monthly O/R meetings (1.5 hrs/month)
  • Attend monthly marketing meetings (1.5 hrs/month)
  • Organize and attend monthly Service and/or Front End Department trainings (up to 3 hrs/month)
  • Attend monthly Worker Owner/Finance meetings (3 hrs/month)
  • Occasional overtime in summer season (March - September)

Compensation

  • This position qualifies as Level 4, overseen by Worker Ownership due to the significant financial responsibility. Minimum $18.75/hr with consideration for experience.
