The Hamlin School is Hiring an Alumni Engagement and Philanthropy Near San Francisco, CA

Reports to: Executive Director of Institutional Advancement

Primary Responsibilities:

Deepen Hamlin’s relationship with alumni by initiating purposeful communication, encouraging enduring relationships, facilitating leadership opportunities, and focusing on increased connection to Hamlin and financial support.

Hours/Classification: 12-Months Full-Time; Exempt

Position Start Date: April 2024 (flexible)

Salary and Title: Commensurate with experience

The individual responsible for the Alumni Engagement and Philanthropy Program must be a hyper-executor with exceptional project management skills to manage and grow the program in alignment with the 2022 Strategic Plan.

Incumbent must excel in the following four core competencies:

Project Management

  • Independently manage projects from strategy to on-time completion; exercise independent judgment in the absence of the Executive Director of Institutional Advancement (EDIA); anticipate the needs of School leadership and volunteers as they relate to the work of Advancement
  • Craft communications for and execute on a strategy to achieve goals of the Alumni Engagement and Philanthropy program; research, write, and produce quarterly alumni e-newsletters; develop periodic social media strategies to support fundraising and alumni engagement
  • Plan and execute alumni events of all sizes from small gatherings off campus to large-scale events such as Alumni Reunion and Alumni Family Event

Relationship Building

  • Inspire community members with positive energy, meticulous record keeping, and clear and timely communication; solicit alumni and parents of alumni for Annual Fund and major gifts; provide all necessary resources for peer solicitations, track donor and prospect status, and communicate effectively with volunteers
  • Serve as a partner to the Alumni Board President, members, and Class Representatives (local and national); coordinate, attend, and take notes at meetings.
  • Uphold the values of Hamlin through relationship building; demonstrate cultural competency and a commitment to seeing through an anti-bias lens; seek professional development and learning opportunities in diversity, equity, and belonging

Systems Thinking and Data Management

  • Work closely with the Database and Stewardship Manager to ensure accurate alumni and PAL contact information and gift data in the Raiser’s Edge and other alumni databases; and manage the alumni gift acknowledgement process to ensure personal, timely, and appropriate recognition of support

Team Collaboration

  • The Hamlin Advancement team operates with a collaborative approach to community events, large projects, and creative problem-solving; a true love of teamwork is essential
  • Perform other duties consistent with the above responsibilities and in conjunction with the overall goals of the Advancement Office; no task is too big or too small.

Requirements:

Experience

  • 5 years of experience in fast-paced, detail-oriented work environment with a track record of success; progressive experience in event planning and/or fundraising and knowledge of the major gifts cycle a plus
  • Bachelor’s degree

Skills

  • Strong project management skills and the ability to execute independently on tasks are essential
  • Excellent verbal and written communication skills are essential, and experience conceptualizing, writing, and coordinating advancement materials is a plus
  • Strong analytical skills and propensity for mathematics
  • Superb organization and administrative skills, including working knowledge of Word, Excel, and PowerPoint
  • Strong ability to juggle long-range strategic planning while prioritizing and completing multiple tasks simultaneously 
  • Knowledge of The Raiser’s Edge preferred; willingness to learn and grow is essential
