Description

Meet Boston (formerly GBCVB) is seeking a Sales Coordinator to provide administrative support to our Leisure Sales division. The Sales Coordinator provides support and services to fulfill the needs of planners of meetings, group tours and individual travelers; working with a diverse group of external callers and visitors, as well as internal contacts at all levels of the organization.

Responsibilities

  • Conduct timely and efficient assistance to the Leisure Sales team in the day-to-day functioning of the department. 
  • Coordinate logistics for internal and external departmental meetings.
  • Assist in coordinating familiarization trips including itinerary planning and scheduling.
  • Assist in maintaining relationships with Meet Boston international offices, including the scheduling of monthly calls, providing Meet Boston assets, fulfilling collateral and other requests as needed. 
  • Assist with creating departmental presentations.
  • Track and fulfill requests received through all channels including but not limited to MeetBoston.com, email and phone. 
  • Provide companies and/or individuals with media publications and materials (imagery, B-Roll, Boston text) and Meet Boston social media handles to assist with promoting Boston.
  • Process department invoices for timely payment. 
  • Handle filing responsibilities for department.
  • Work with vendors & partners for various department needs.
  • Attend weekly department meetings and monthly Meet Boston partnership activities.
  • Maintain current account information and activity in the CRM.
  • Conduct post-meeting follow up with tour groups.
  • Work closely with Meet Boston departments and external partners to ensure a cohesive message from the Boston hospitality community.
  • Perform other related duties as required and assigned.

Requirements

  • College graduate or equivalent public-facing work experience
  • Hospitality industry experience is a plus
  • Excellent aptitude for professionalism, organization, attention to detail, responsiveness, and follow-up required
  • Technical proficiency with Microsoft Office, Adobe, Photoshop, and social media 
  • Excellent written and verbal communications skills 
  • Must be available to work some evenings and weekends
  • Working knowledge of the city and a passion for hospitality is an asset.
  • A team player with a high level of dedication

Job Type

  • Full-time, Monday to Friday; some weekend and evening work required
  • Hybrid work schedule: 3 days in office / 2 days remote, subject to change in the future
