In this position the executive assistant/case manager provides high-level support for the attorney including case management, calendar management and successful coordination of business meetings. Serve as liaison between the attorney and other departments within the firm. Exercise independent judgment in the resolution of administrative problems. Prioritize and manage multiple projects simultaneously with little or no supervision.

Duties include but are not limited to:

Executive Assistant Role:

  • Scheduling & coordinating conference calls for the attorney. Taking notes during the call and if follow-up is required, following through with making sure task(s) have been completed.
  • Scheduling all in office appointments for the attorney
  • Handling incoming and outgoing phone and electronic communications on behalf of the attorney
  • Maintain attorney’s email when he/she is out of office.
  • Independently creating well-organized, grammatically correct memos and reports for distribution to members of various departments
  • Maintaining highest level of confidentiality
  • Exercising administrative judgment; assuming responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service within the functional area
  • Performing other duties as assigned

Case Manager Role:

  • Maintaining client files & follow office procedures on processing files thru to completion
  • Act as a point of contact between the attorney and clients on all files
  • Complete the Case Manager checklist on all files ensuring all tasks have been checked off before each client appointment

Experience and Education:

  • Associate degree preferred
  • Two years or more of experience as an administrative assistant in a professional/medical setting
  • Experience in some or all of the following: Medicaid planning/applications, Guardianships, Medicare, Trusts, Wills, Disability Planning, Veteran’s Pensions, Disability Benefits, General Social Security, Financial Eligibility Standards and Department of Children & Families.
  • Working knowledge of Elder Counsel, Microsoft Excel, Word, PowerPoint, and Outlook
  • Demonstrate interpersonal skills and proficiency in business vocabulary to effectively represent the executive and the company to outside parties
  • Excellent interpersonal, oral, and written communication skills
  • Excellent writing, proofreading, and editing skills

Salary commensurate with experience.
