The Center for Children and Families is Hiring an Office Manager Near Clinton, MS

Job Purpose:
The Office Manager is responsible for facilities management of the Clinton office, as well as administrative duties. This position requires drafting professional correspondence, answering the phones, mail, data entry, event planning and set up, as well as other duties assigned. This position reports to, and acts as an assistant to the Clinical Director and Clinical Coordinators.
Qualifications:
The Office Manager should have the following qualifications and experience:
  • High school diploma is accepted, bachelor’s degree preferred. Preference given to those with higher education.
  • Ability to handle multiple tasks, to be self-motivated and decisive.
  • Ability to communicate concisely and effectively, both oral and written.
  • Ability to maintain confidential information.
  • Must be well organized and efficient in the office setting.
  • Must have a warm and welcoming presence.
  • Knowledge and understanding of computer word processing programs, e-mail, and the internet.
Job Duties and Responsibilities:
  1. Office Management and Hospitality:
    1. Oversee all functions of the office.
    2. Manage the phone, internet, and computer needs.
    3. Receptionist – handle phone calls in a pleasant and professional manner. Process client and collateral requests.
    4. Purchase and maintain office supplies.
    5. Purchase and maintain office food, drinks, and snacks.
    6. Order/cater meals for meetings.
    7. Clean and prepare meeting areas.
    8. Office safety checks.
    9. Manage company credit cards and receipts. 
    10. Manage the therapy room schedules. 
  1. Administrative Duties:
    1. Input referrals.
    2. Complete program discharges.
    3. Complete monthly file review.
    4. Complete monthly client experience calls.
    5. Manage client waitlist phone calls.
    6. Input data and manage the WITS system.
    7. Maintain communication with community agencies and resource providers.
    8. Monthly Medicaid checks.
    9. Review and submit background checks.
    10. Prepare reports as needed.
  1. Agency Expectations:
    1. Help set up and work tables/booths at community events.
    2. Demonstrate acceptable level of commitment to the Core Values and Mission of The Center for Children and Families.
    3. Complete all necessary trainings.
    4. Learn about all programs The Center offers and be able to communicate it to the public when asked.
    5. Provide assistance to the Clinical Director, Coordinators, and Exec as needed when requested.
    6. Complete weekly timesheet.
    7. Participate in performance evaluations.
    8. Attend all-staff trainings and weekly huddle.
    9. Other duties as assigned.

Regular automobile and airline travel may be required in normal course of job performance.
Compensation:
$32,000-34,000 per year benefits
