Essential Functions: Under the general supervision of the Department Chair, the incumbent is responsible for providing administrative support to the Chair of the Mathematics Department. The incumbent serves as liaison and resource person for the chair, faculty, staff and students and is responsible for the smooth operation of the department office with the goal of providing the best possible service. Duties include but are not limited to: serving as the department's coordinator; inputting class schedule every term; keeping records of attendance for faculty, staff, and student assistants; taking minutes at department meetings; providing direction regarding policies for full-time faculty, lecturers, teaching associates, staff and students; and responsible for determining priorities and needs to show initiative and ingenuity in accomplishing responsibilities. The incumbent will coordinate the processing of financial requests; track paperwork to ensure timely processing of purchase orders, requisitions, contracts, etc.; complete university forms such as requests for travel, expense claims, petty cash requests, mileage reports, requests for checks, etc.; balance and maintain all of the Department’s State and UAS accounts; and reconcile Peoplesoft ledgers with the NSS Fiscal Assistant. |
Required Qualifications & Experience: Equivalent to four years of general office experience, which included providing ongoing work coordination and/or lead responsibilities with notable accountability for the work results of support staff or unit administrative function. The incumbent must possess knowledge of university infrastructure and university policies and procedures; and of office methods, procedures, and practices. The incumbent must have excellent written and oral communication skills with a sound foundation in English grammar, spelling and punctuation. The incumbent must be proficient in Microsoft Word and Excel and have the ability to independently handle multiple priorities and projects, and be able to work effectively and sensitively with a broad range of people; to perform business math; analyze budgetary data; make accurate projections requiring some inference; to learn, interpret independently, and apply a variety of complex policies and procedures; use computer technology to access data, maintain records, generate reports and communicate with others; and to interact in a supportive manner with varying levels of staff, students, and members of the general public from diverse backgrounds. The incumbent must be self-motivated and able to work independently. The incumbent must have a demonstrated interest and/or ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the California State University.
