Admissions Coordinator (Seattle, WA)
Full-Time (40 hours per week), Salary/Non-Exempt (Overtime Eligible)

The Bush School, a K-12 progressive, independent school located in Seattle, WA, is in search of an individual to join our Admissions team as an Admissions Coordinator. We are seeking a candidate who is able to support the school's mission of diversity and inclusion and who has a background that demonstrates an understanding and appreciation of intercultural fluency. This position reports to the Assistant Director of Admissions and Financial Aid and works closely with the school's Admissions Department, as well as students and families. As a member of the Admissions Department, the Admissions Coordinator position is responsible for all aspects of database management for K-12 admissions programs and provides direct administrative support to the Assistant Director of Admissions and Financial Aid.
While other duties may be assigned, a qualified candidate will be able to execute on the key responsibilities and tasks listed below:
Daily Operations and Database Management:
  • Coordinate operations for Office of Admissions and Financial Aid providing daily technical, logistical, and administrative support through each stage of the application process from recruitment to processing applications to supporting admissions committees to enrollment.
  • Responsible for all aspects of database management that support the admissions application process and K-12 re-enrollment; Input and export data to generate key reports to support data-driven decision making.
  • Update and maintain online applications; support students, families, faculty, and staff through the admissions application process from inquiry to applicant to enrolled; Assists prospective families with submission of required admissions documents.
  • Responds to phone and email inquiries from prospective and applicant families in a timely manner with customer service orientation; Provides holistic support for students and families from communities that have been historically underrepresented in independent schools.
K-12 Admissions Events:
  • Plan and provide logistical support for all K-12 recruitment and admissions events including divisional Open Houses, school fairs, student visits, campus tours, general recruiting events, student assessments, admissions committee meetings, decision week events, and new family welcome events.
  • Coordinate and maintain applicant event registration through Ravenna; Implement internal logistics including catering, room reservation/set-up, and calendaring.
Experience and Professional Competencies:
  • Bachelor's degree required.
  • Strong work ethic, organized, punctual, and attention to detail; Ability to multitask and manage deadlines.
  • Experience working with databases; Knowledge of databases (Blackbaud), application platforms (Ravenna, School and Student Services), and email communication platforms (MailChimp, Microsoft Outlook) a plus.
  • Fluency in Google Drive and Microsoft Office (Word, Excel, PowerPoint).
  • Spanish fluency in speaking, reading, and writing a plus.
  • Willingness to assume additional responsibilities as required.
Successful Candidates will:
  • Maintain a strong work ethic and attention to detail, with high standards of professionalism, organization, punctuality, confidentiality
  • Demonstrate resourcefulness and sound judgment in decision-making
  • Possess excellent written and verbal communication skills
  • Be highly proficient with Google Drive and Microsoft Office (Word, Excel, PowerPoint)
  • Maintain a willingness to assume additional responsibilities, as required
  • Be willing to work some weekends and evenings, especially during peak season. The typical daily work schedule is 7:30 a.m. - 4:00 p.m. The candidate must also be flexible to work evenings and weekends as needed throughout the year for admissions events primarily in "peak season" from October-April, and additional support for all-school events that take place in the off season and/or as scheduling allows.
Additional Requirements:
  • Have a current Adult and Children CPR, First Aid and AED Certification (or receive one soon after hire date).
  • Meet the school's standards when completing two separate background screenings.

Compensation/Benefit Information for this position:
  • Compensation Range (Hourly Rate of Pay): $33.37/hour to $34.71/hour
