The Bolles School is Hiring a Payroll Specialist Near Jacksonville, FL

Bolles is an independent, co-educational day and boarding school founded in 1933. Our Upper School is beautifully situated on the banks of the St. Johns River in the heart of the Jacksonville metropolitan area. Bolles proudly employs over 400 full time, part time and seasonal faculty, staff, coaches, and administrators. and enjoys a rich history in tradition and achievement that extends to our hiring practices and the professionalism and respect garnered in the independent school community.

Position Summary: The Payroll & 403b Specialist is responsible for the accurate and timely processing of the school's monthly payroll, including the management of exempt and non-exempt employees, seasonal, full-time, part-time, and employees on 10, 11, and 12-month contracts. This position also administers the school's 403(b) retirement plan. The Payroll Specialist ensures compliance with federal, state, and local payroll, wage, and hourly laws and best practices.

Essential Functions:

  • Process monthly payroll for all employees, ensuring accuracy and compliance with applicable laws and regulations.
  • Maintain and update payroll records, including timekeeping, deductions, and employee information.
  • Administer the school's 403(b) retirement plan, including enrollment, contribution changes, and compliance with regulations.
  • Reconcile payroll accounts and prepare reports for the CFO and other stakeholders.
  • Handle payroll-related inquiries and resolve any discrepancies or issues in a timely manner.
  • Coordinate with the HR department to ensure proper onboarding and offboarding of employees in the payroll system.
  • Stay updated on changes in payroll and tax laws and implement necessary adjustments to payroll processes.
  • Assist with year-end tasks, including W-2 processing and audit support.
  • Provide training and support to employees on the use of the Paycom payroll system, as needed.
  • Perform other duties as assigned by the CFO.

Qualifications/Requirements:

· Must possess an associate degree in a related field and/or a minimum of five years related experience in payroll or accounting; bachelor’s degree preferred

· Strong critical thinking and problem-solving skills

· Ability to maintain confidentiality and handle sensitive information with discretion.

· Experience with Paycom or similar payroll systems is highly desirable.

· Strong attention to detail and accuracy in handling financial data.

· Proficient in Microsoft Office Suite, particularly Excel.

· Excellent communication and relationship skills

· Detail-oriented, deadline focused, and able to thrive in a fast-paced environment

· Knowledge of all pertinent federal and state regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including ERISA, COBRA, FMLA, HIPAA ADA, Section 125, workers' compensation, Medicare, and Social Security and DOL requirements

General:

· Performs in a manner that reflects positively on The Bolles School

· Communicates well, works congenially, and deals effectively with all school personnel and families, as well as with the larger business and educational community

· Performs other duties as requested

Physical Requirements and Work Environment:

  • Occasionally lift up to 15 lbs.
  • Generally, works in standard office conditions and climate.
  • Works in a highly stressful environment dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts.
  • May work at a desk and computer for extended periods of time.
  • Manual dexterity to efficiently operate a computer keyboard and other business machines.
  • Near vision sufficient to read written communications and computer display screens.
  • Adequate hearing to communicate effectively in person and by phone.

Job Type: Full-time

Pay: $22.07 - $26.57 per hour

Expected hours: 40 per week
