The Bariatric Counseling Center is a one-of-a-kind behavioral healthcare facility that treats adults struggling with obesity, over-eating, emotional eating and weight loss. The facility’s innovative 8-year-old intensive outpatient program offers group and individual therapy, dietary counseling, culinary instruction, mindful eating guidance and physical activity education in a unique all-inclusive multidisciplinary format. The program empowers clients to understand and change their relationship with food and movement and achieve improved health, weight, and quality of life for the long-term. The populations served include bariatric surgery clients who are pre/post-surgery (with other providers) as well as non-surgical clients chronically struggling with weight loss and their relationship with food. The modern facility includes a state-of-the-art teaching kitchen for healthy recipe demonstrations and development.
The fun-loving, close-knit, and dynamic Bariatric Counseling Center team is comprised of a Clinical Psychologist, Licensed Professional Counselors, Registered Dietitians, a Physical Therapist, a Professional Chef, intake and marketing administrators, and Mental Health Counseling and Dietetics graduate school interns.
Job Description:
**Overview:**
We are seeking a dedicated Behavioral Health Intake Coordinator to join our fun and dynamic team. The ideal candidate will have a background in healthcare administration, marketing, or sales and possess strong organizational and communication skills.
**Duties:**
- Receives all referral and inquiry calls, responds to requests for program information, provides facility tours.
- Makes outbound calls to provide program and enrollment information to referred patients.
- Records all inquiries, referrals, and tours in Salesforce. Tracks and manages daily follow-up tasks.
- Administers and manages all aspects of the patient enrollment and intake process. Coordinates new admissions with clinical team. Confirms completion of all intake forms, including consents and releases. Ensures patients are fully informed during the admission process.
- Reviews insurance verifications and discusses insurance with prospective and current clients. Ensures patient share of costs is provided.
- Conducts discharge interviews with patients upon their completion of the program.
- Conducts daily client program check-in and census.
- Collaborates and communicates with clinical referral sources, families, doctors, and agencies to facilitate referrals and admissions. Maintains relationships with referral sources and support groups. Collects patient demographics for clinical team and securely sends treatment summaries to coordinate care with external providers.
- Ensures compliance with HIPAA regulations and maintainenance of patient confidentiality
- Represents facility at periodic special marketing events
**Skills:**
- Experience in a medical office setting, preferably in behavioral health
- Excellent interpersonal and customer service skills. Pleasant and friendly disposition with clients and staff
- Ability to communicate clearly and professionally both verbally and in writing
- Excellent organizational skills and attention to detail
- Ability to multitask and prioritize tasks effectively
- Team player mentality
- Proficiency in medical records management and managing administrative tasks
- Knowledge of Salesforce and Electronic Medical Records (EMR) management systems is a plus
- Understanding of HIPAA regulations and compliance standards
- Previous experience in medical administration, marketing, or sales is a plus
