JOB SUMMARY
Routine office work of moderate variety and complexity involving the performance of general administrative tasks and functions. Promote and demonstrate the values, vision and mission of The Arc ensuring the respect, dignity, safety and well-being of clients at all times.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Report to schedule shift consistently and on time.
Follow policies, procedures and rules of the organization.
Serve as a role model and demonstrate, encourage and offer direction in fairness, consistency, attentiveness, ability to work with others, appropriate dress and appearance, and effective conflict resolution.
Treat all clients, parents, guardians, co-workers, supervisors and people in the community with respect and dignity.
Maintain confidentiality of those we serve.
Promote and participate in open and effective communication and support with all employees and clients.
Maintain high program standards.
Advocate for clients’ rights.
File all Client documentation.
Ensure all documentation has signatures.
Assign work to File Clerk.
Review Quarterlies for accuracy, quality, and documentation of Client Progress.
Conduct Client File reviews to ensure all required documentation is present; obtain any missing documentation.
Keep files accurate, organized, secured and tracked.
Purge files and maintain organization of purged documentation.
Maintain Residential and Day Programs Shared folders in G: drive.
Print, collate, and mail monthly billing to Support Coordinators by the 10th of each month.
Perform client data entry as assigned.
Assist with entering and activating service authorizations.
Assist programs, particularly Life Skills Development (ADT) and Residential, with required documentation.
Review and make recommendations for improvement of Client File processes or procedures in order to ensure compliance with regulatory agency requirements (e.g. AHCA, APD, Delmarva).
Schedule appointments and verify pricing for LiveScan fingerprinting services.
Process LiveScan fingerprints using software/equipment designated for this purpose.
Assist as needed with payment of LiveScan fees and accounting verification of fees collected.
Other administrative duties as assigned.
EDUCATION AND EXPERIENCE REQUIREMENTS
Possession of a high school diploma or equivalent (GED).
One year of office and/or clerical experience.
KNOWLEDGE, SKILLS, ABILITIES & WORK HABIT REQUIREMENTS
Knowledge of proper office practices, procedures and equipment.
Skill in dealing tactfully and courteously with callers and visitors.
Ability to understand and follow oral and written instructions.
Knowledge of proper business English, spelling and arithmetic.
Effective verbal and written communication skills.
Strong interpersonal and organizational skills.
Ability to manage time effectively and prioritize.
Ability to work independently and in team settings.
Ability to promote the dignity and respect of those we serve.
Basic knowledge of Microsoft Office software.
Ability to operate basic office equipment such as copy machine, facsimile equipment, and computer.
Care properly for equipment and resources.
Maintain positive interactions with clients, parents, guardians, co-workers, supervisors and people in the community.
