TITLE

Coordinator, New Student Programs

JOB SUMMARY

The Coordinator, New Student Programs will perform specialized work to enhance the effectiveness of admitted student programs and events. The position will oversee production methods, schedules, and organize the budgetary needs of ongoing projects and functions for the department, which includes the New Student Programs, Academic Testing Center, and Promise Outreach initiatives. Duties include event preparation, vendor liaison, managing the staffing needs of the department, communication of policies/procedures to campus and community, and aiding in the implementation of admitted student programming. The coordinator may be required to supervise a clerical staff and/or Student Assistants and/or may assume considerable responsibility in office management. Work is performed under general supervision and performance evaluation is based upon completion of assignments and results obtained. The performance evaluation is conducted through the performance evaluation system and in accordance with the University Policies & Procedures.

ORGANIZATIONAL RELATIONSHIPS

Reports to: Director, New Student Programs

Supervises: May supervise clerical staff and student assistants

ESSENTIAL DUTIES - May include, but not limited to the following:

  • Supports Director in program development of New Student Programs, Academic Testing

Center, and Promise Outreach.

  • Facilitates the planning and execution of department-sponsored events.
  • Oversees production methods and finalizes event and staffing schedules.
  • Provides logistical support for events and department presentations.
  • Manages the daily financial activities of the New Student Programs, Academic Testing Center, and Promise Outreach, which includes budget preparation and control, accounting, purchasing, and requisitions for accounts meeting or exceeding $1 million.
  • Works closely with Scholarships when determining last dollar scholarships for Promise Programs.
  • Collects data and prepares summary reports and projections.
  • Develops productive working relationships with campus counterparts and community resources.
  • Supports manager with post-event wrap up tasks including budget completion, storage of supplies and event surveys.
  • Coordinates personnel and payroll-related functions and ensures timely submission of required documentation.
  • Manages the departmental purchasing card and approves reconciliations.
  • Assists in development and interpretation of policy and procedure for business-related functions.
  • Assists in submission of event related work orders and requests to various campus facilities.
  • Supervises and trains clerical employees and Student Assistants
  • Advises department on University and State of Texas policy and procedures as related to admitted student events, vendor relations, and allowable expenditures.

    ADDITIONAL DUTIES

    • Assists department with special events.
    • Performs other duties as requested.

      EDUCATION

      Associate’s degree required, or ten years’ experience with a high school diploma. Bachelor’s degree preferred.

      EXPERIENCE

      Three years’ experience in higher education or similar educational setting.

      REQUIREMENT

      Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position.

      • Ability to represent the department and University in a friendly, courteous, and professional manner.
      • Ability to use a personal computer and other office equipment, including related university software and email.
