Job Description :

The Durable Medical Equipment Coordinator for the Comprehensive Rehabilitation Services Program (CRS) reports to the CRS Clinical Services and Supports Manager.

The DME Coordinator supports the team utilizing Person-Centered Planning, Wraparound and Trauma Informed Care to provide rehabilitation services supports to individuals with Traumatic Brain Injuries (TBI) and / or Traumatic Spinal Cord Injuries (TSCI).

Collaborates with internal and external stakeholders to ensure continuity of care. Coordinates medical services and supports;

including but not limited to, obtaining documentation for durable medical equipment quote requests, obtaining quotes, reviewing bids, obtaining manager approvals, identifying and utilizing comparable benefits and issuing services authorizations.

Serves as a subject matter expert regarding durable medical equipment (DME), medical terminology, assistive technology and procedure coding.

The DME Specialist works independently with latitude to use critical thinking and problem solving to establish and maintain effective business relationships with individuals we support, their families, providers, and colleagues to ensure individuals we support needs are met.

Serves as a liaison with contract providers to ensure participation is consistent with program, legal, and fiscal requirements.

May require travel outside immediate office location to accomplish assignments.

Essential Job Functions :

1. Oversees and coordinates the durable medical equipment bid process to ensure the provision of services to individuals CRS supports.

Gathers supporting documents for the individual’s durable medical equipment needs. Prepares Work Order Quote Request specifications for requests for DME bids.

Reviews bids utilzing approriate evaluation methods, obtains supervisory approval and awards purchase to appropriate DME contracted provider.

Identifies and utilizes the individual’s comparable benefits, issues service authorizations

2. Assist the Social Worker with bid evaluation documents to Program supervisor to ensure that the correct contractor was selected based on screening.

Notifies providers of outcome of bid and processes service authorizations. Fosters positive collaboration with internal and external providers and stakeholders with focus on solution-based outcomes.

3. Collaborates with assigned Social Worker, the individuals we support, families, and providers as needed to obtain medical records, orders and verify all necessary documentation has been submitted for the DME Work Order requests.

4. Acurrately documents all tasks, DME process, case related activities, communication with individuals we support, their families, and providers in the designated electronic CRS case management system.

Completes administrative activities, reports and updates consumer case files to ensure case file is properly maintained and organized.

Meet specific deadlines according to the CRS policy and standards using the approval criteria for Durable Medical Equipment.

5. Provides education, information and technical assistance regarding the CRS Program and services to individuals, families, internal and external stakeholders.

Serves as subject matter expert on durable medical equipment. Responsible for the completion of DME services authorizations and tracking of the delivery of goods and services related to DME .

6. Collaborates with the CRS contracts unit to monitor the contract performance of DME contracted providers by examining Work Order Request Responses, evaluating service delivery and compliance with terms of contract and policies.

7 . Performs other duties as assigned to ensure continuity of case and maintain positive consumer outcomes.

  • Durable Medical Equipment and complex medical equipment necessary for individuals to meet their rehabilitation goals.
  • State purchasing, procurement and contract management requirements, regulations, and best practices.
  • Rehabilitation services and medical terminology.
  • Comparable benefits for medical services.

  • Evaluate fiscal data and bids for reasonableness, necessity, and conformity with contract requirements.
  • Educate individuals and family members regarding community resources and available medical services.
