Job Description Summary
The Manager of Special Events, under direction, is responsible for managing and providing leadership to event planning within Student Activities and for internal and external groups utilizing the Aggie Special Events Center. This position will coordinate logistics for events including facility reservation and configuration, audio/visual needs, catering and parking services. Additionally, this position will train student organization leadership in the successful planning of campus events and assist them in the coordination of logistics.
Qualifications
Required Education:
Bachelor's degree or any equivalent combination of education and experience.
Required Experience:
Five years experience in event coordination or event management.
Required Special Knowledge, Skills, and Abilities:
Knowledge of word processing, spreadsheet, and database applications.
Ability to be organized and detail oriented.
Ability to multitask and work cooperatively with others.
Ability to communicate clearly, professionally and effectively to ensure understanding and build relationships with constituents.
Job Responsibilities
40% Event Management
Manages event services, including reservations, scheduling, planning, service deliveries, billing, and post-event evaluations for internal and external groups utilizing the Aggie Special Events Center, Waterfront Pavilion, and other campus event spaces. Develops, manages and oversees facilities and events calendars. Plans and directs workflows the liaison to other university departments to ensure constituent needs are met including, but not limited to facility reservations and configurations, audio/visual needs, catering, parking services, signage, security, building access, and other needs as they arise. Coordinates with university Environmental Health and Safety office to ensure that event safety guidelines are being followed. This position will be a member of the Commencement Committee to coordinate ceremony logistics and be present for all commencement ceremonies.
20% Policy and Procedures Development and Implementation/Assessment
Ensures achievement of department goals and develops and implements operational strategies by conducting post-event evaluations to assess processes and improve future services to constituents. Investigates complaints and resolves problems. Based on post-event evaluations, reviews, recommends, and implements policy changes and initiates process changes.
15% Student Organizations
Supervises and trains student organization leaders by providing annual Event Planning workshops for student organization officers. Serve as Student Activities contact for student organization officers wishing to reserve campus facilities or request facility, IT, or catering services.
10% Business Administration
Directs the preparation of reports for administration by coordinating with Administration and Auxiliary Services to confirm proper billing for facility use. Negotiates costs and develops contracts with clients. Administers insurance documents and waivers of liability. Develops and oversees unit budgets.
10% Marketing
Build relationships with others such as the Texas A&M Foundation, TAMU at Galveston Marketing and Communications, and Galveston Island Convention and Visitors Bureau to market conference facilities and services to external groups.
5% Other Duties
Performs other duties as assigned.
Other Requirements or Other Factors:
Must be able to work a flexible schedule, including some nights and weekends.
