Tennessee Board of Regents is Hiring a Remote Coordinator of Operations, Office of External Affairs

Coordinator of Operations, Office of External Affairs, Departments of Strategic Advancement and Center for Workforce Development

Provide coordination of all functions of the Departments of Strategic Advancement and the Center for Workforce Development within the Office of External Affairs. Although the position administratively reports to the Associate Vice Chancellor for Strategic Advancement, the duties are split equally between both departments including assisting the Executive Director for the Center. Duties include, but are not limited to, calendar management, travel arrangements, preparing out of state travel authorizations, travel expense claims, public, general and confidential correspondence, reports, forms, programs, and other materials as needed. Regularly monitors budgets of both departments and submits requisitions and reconciliations of departmental budgets. Duties also include providing backup when needed for the Board Secretary and Administrative Assistant to the Executive Vice Chancellor for External Affairs.

Responsibilities:

Provide assistance to both departmental leaders in the Departments of Strategic Advancement and the Center for Workforce Development including calendar management, travel arrangements, preparing out of state travel authorizations, travel expense claims, general and confidential correspondence, reports, forms, programs, and other materials as needed. Monitors budgets of both departments and submits requisitions and reconciliations of departmental budgets.

Within the Department of Strategic Advancement

  • Manage critical deadlines or special priority tasks as directed or assigned by the Associate Vice Chancellor for External Affairs-Strategic Advancement. Manages critical deadlines or special priority tasks as directed or assigned by Associate VC of Strategic Advancement.
  • Works with leadership to coordinate Foundation for the College System of Tennessee Board Meetings and Committee Meetings including: sending announcements and Agendas
  • Recording Minutes of all meetings.
  • Maintaining an updated Foundation Board Roster
  • Maintaining an updated Community College Advancement Officer Roster
  • Coordinating Advancement Officer Peer Group Meetings
  • Manage, maintain, and utilize prospect tracking software

Within the Center for Workforce Development

  • Providing support to Workforce Development offices at TBR colleges in related areas
  • Tracking/recording/documenting system-wide workforce training initiatives in the CFWD database
  • Assisting the CFWD Executive Director with tnTrained activities, to include planning system-wide workforce training opportunities for member institutions
  • Assist the CFWD Executive Director with TCAT Truck Driving academic program duties, to include interfacing with the state Department of Safety & Homeland Security’s CDL Office for 3rd Party Testing credentialing and other related initiatives

Other duties as assigned

Knowledge, Skills, Abilities:

  • Ability to communicate effectively and ability to use good judgment.
  • Excellent organizational skills.
  • Experience with standard office practices and procedures; operates basic office equipment such as telephone, computer, copier, fax machine, etc.
  • Proficient in using software applications such as Microsoft Word, Excel, Outlook, PowerPoint, Adobe Acrobat, Excel, and Publisher to assemble, manipulate and/or format data and/or reports; and the ability to work in a fast-paced environment.
  • Some travel required in attending board meetings, presidents’ meetings, etc.
  • Capability to maintain confidentiality is required.
  • Ability to communicate effectively in both written and oral form.
  • Requires ability to communicate effectively and professionally with senior administrators, students, and the public.
  • Requires ability to liaison with senior staff, support staff, and institutional administrators.
  • Capacity to prioritize and organize effectively

Minimum Qualifications:

  • Bachelor’s degree, or equivalent combination of education and experience.
  • Five years of progressively responsible experience in position requiring planning, implementation, and management of short- and long-term projects.

Preferred Qualifications:

  • Five years’ experience working in TN public higher ed or TN State government.
  • Working knowledge of software including Razor’s Edge and Banner

Pay: $54,468.00 - $67,169.00 per year
