Job Description Administrative Assistant III-Legal Team Contract Role 3-6 months Provides analytical and specialized administrative support to assist IP attorneys, patent agents, and paraprofessionals with complex assignments and advanced administrative duties. Executes specialized research and data entry tasks. Assists with analytical problems, compiles and distributes data, and prepares reports/recommendations. Coordinates meetings between departments and outside parties. Work is generally of a critical or confidential nature. Assignments may be found in various functional areas. Required Skills:
Has substantial understanding of the job and applies knowledge and skills to complete a wide range of tasks
Works on assignments that are moderately difficult, requiring judgment in resolving issues or in making recommendations
Normally receives little instruction on daily work, general instructions on newly introduced assignments
Exhibits strong communication skills and ability to prioritize assignments based on team's needs
Proficient in MS Office apps (Outlook, Excel, Word, Teams)
Strongly preferred skills:
Meeting administration
Company Card processing (download and reconciling statements and reformatting statements to be uploaded into company systems [ANAQUA and Concur])
Law firm invoicing handling (reviewing and uploading into ANAQUA)
Upload SAP (invoice) requests
Patent Docketing experience preferred, but not required
Typical Education and Experience Bachelor's Degree; or Associate's Degree with a minimum of 2 years of related experience; or 4 years of related experience in lieu of degree; high school diploma or equivalent required. Physical Demands and Work Conditions The physical demands described herein are representative of those that must be met by an employee to successfully perform the essential functions of this job. This job operates in an office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. This is a largely sedentary role; however, some filing is required, which would require the ability to lift files, open filing cabinets and bend or stand as necessary. This position requires the ability to occasionally lift office products and supplies, up to 35 pounds. This position also requires 4 to 6 hours per day at a computer screen/keyboard.
