Job Overview

The Administrative Assistant serves as the first point of contact for the Office of the Vice President for Student Affairs, greeting all walk-in traffic, answering phone calls, managing administrative processes, and providing customer service for a variety of functional areas.

They are the primary representative for the Office, and serves as crucial link to the Student Affairs staff, University administrators and their staff, and other individuals and entities - both internal and external to the University. In a critical element of their role, they efficiently and broadly support the Office of the Vice President and appropriately relate with multiple constituencies.

Primary responsibilities include but are not limited to front desk and office management, primary support for the Office of Student Conduct investigator inquiries, facilities and supply management, student employees’ oversight, space reservations administration, event support, and administrative support for the Office, including creating expense reports, making travel arrangements and performing related activities.

Work Interactions

Reporting to the Administrative Officer, the Administrative Assistant oversees student employees.

They provide a full range of administrative support to the Office of the Vice President for Student Affairs and has daily interaction with University executives, administrators, program directors, faculty, students and division-wide staff.

Given the nature of the position, they also interact with alumni, donors, prospective donors, parents, and invited guests.

Requirements and Qualifications

  • Bachelor’s degree
  • 1-3 years of experience in a professional office environment
  • High degree of professionalism and strong attention to detail
  • Ability to prioritize multiple tasks and multi-task, to be flexible and proactive, and to
    handle sensitive and/or confidential materials, situations and interactions
  • Excellent organizational skills, combined with strong communication and writing skills
  • Ability to prioritize work with strong attention to detail
  • Demonstrated flexibility in a dynamic work environment
  • Familiarity with Google and Microsoft Office suites
  • Excellent interpersonal skills
  • Ability to handle sensitive and/or confidential information, situations, and interactions
  • Ability to perform light to moderate physical activity

Preferred Qualifications

  • Familiarity with GMS/Workday
  • Familiarity with WordPress
