Takkion Ops Management LLC is Hiring an O&R - Operations Assistant Near Sioux Falls, SD

Description:

The Operations Assistant is responsible for performing administrative duties and other functions that help streamline the daily business operations of the organization. The Operations Assistant will primarily support RENEW’s Specialty Field Services and perform various duties for Remanufacturing and other service divisions.

ESSENTIAL FUNCTIONS

  • Increase team efficiency by providing support both operationally and administratively.
  • Responsible for operations logistics/travel arrangements: scheduling flights, rental cars, hotel reservations, etc. for current employees, prospective employees and new hires.
  • Provide job numbers and respond to all employee and customer requests in a timely manner.
  • Review employee timesheets and expense reports on a weekly basis.
  • Assist with technical documentation.
  • Provide scope of work to technicians.
  • Communicate with customers/customer needs.
  • Provide requested safety certifications to customers, employees and subcontractors.
  • Assist with fleet management (order fuel cards, mail out tags and help keep everything up-to-date and organized).
  • Compile the scheduling email.
  • Ship tools and parts.
  • Track time-off schedule.
  • Help with pre-jobs meeting.
  • Monthly reporting functions including polling databases, formatting information, vetting data and compiling operations reports.
  • Data entry, quality control verification and reporting from various core business-management technologies.
  • Create SOP’s (standard operating procedures) and establish spreadsheets and databases for the company.
  • Order supplies, reception back up, recordkeeping and other courier duties.
  • Keeps fully informed of current developments in the operations field, industry, regulations and Company procedures as they apply to assigned work areas.
  • Must always be on hand and ready to perform additional related assigned tasks.
Requirements:

EDUCATION & EXPERIENCE REQUIREMENTS/COMPETENCIES

To perform the essential functions of this position successfully, an individual should be able to demonstrate and provide the following:

  • HS diploma or GED equivalent required. Secondary education preferred.
  • Three (3) – five (5) years of functional experience in administration, operations or customer service field preferred.
  • Extensive knowledge in Word, Excel and Outlook and the ability and willingness to learn new software applications.
  • Excellent organizational skills, communications skills, the ability to multi-task, and most importantly, the ability to work well in a team.
  • Demonstrated openness to change, flexibility, and adaptability.
  • Strong analytical thinker with the ability to resolve complex issues.
  • Self-starter with a drive for continuous improvement of the business operations.
  • Express willingness to step out of the box to assist other teams to meet and overcome challenges for the company.

WORK ENVIRONMENT/PHYSICAL REQUIREMENTS

This position is largely self-directed and requires understanding of company policy, procedures, and values. Team members will be required to adhere to all safety requirements in all work environments. This position operates in an office environment.

Specific physical requirements include:

  • Sitting for approximately 90% of the time while working on a personal computer.
  • Occasionally lifting weights of fifty (50) pounds or less.
