Job Description
This position will manage the administrative functions of the Advancement and External Relations (AEA) Office. Including handling the travel and expense activity for the AEA staff as well as assisting in administrative and organizational tasks related to all AEA events and operations. Significant components also include assisting the Director of Invent@SU with running the program, updating and maintaining the software systems of the AEA department.
Qualifications
  • Bachelor’s degree preferred.
  • Two (2) plus years of administrative experience desirable.
Job Specific Qualifications
  • Experience with Microsoft Office suite and familiarity with other software platforms.
  • Strong organizational skills with attention to detail.
  • Ability to work independently.
Responsibilities
  • Assist the Director of Invent@SU with managing the program at Syracuse University. This includes assistance in recruiting students and organizing applications for the program, ordering food for students during the six-week program, ensuring that students are paid on time, aiding in logistics for recruiting surrounding guest evaluators and judges, and planning tasks for the final presentation event.
  • Conduct administrative tasks for ECS AEA events, in-person and virtual, on- and off-campus.
  • Travel is generally not expected but may be occasionally requested for AEA needs and the staff member’s availability to travel.
  • Tasks for in-person events may include creating invitation lists, reserving rooms, printing name badges, distributing gifts to attendees, and following up with attendees after events.
  • Process travel reimbursements for ECS (AEA) staff.
  • Update system software to document and track events, communicating with prospects, and requesting email retrievals.
  • Occasionally assemble packets of information for ECS staff where needed.
  • Maintain inventory of gifts and giveaways for prospects, alumni, and friends of ECS.
