SYNERGY HomeCare of Provo is Hiring a Home Care Office Assistant Near Provo, UT

Position Overview: We are seeking a detail-oriented and organized Office Assistant to join SYNERGY HomeCare of Provo! The Office Assistant will play a crucial role in ensuring the efficient operation of administrative tasks within our agency. This position offers a unique opportunity to contribute to the well-being of individuals receiving homecare services in Utah County community while maintaining the smooth functioning of our agency's day-to-day operations.

This is a part-time position that has the potential of growing into a full-time position. We have experienced significant growth this past year, and are on track to expand even more in the very near future.

Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the agency's management team, including managing phone calls, scheduling appointments, handling emails, and maintaining accurate records.
  • Client Coordination: Assist in coordinating client care schedules, ensuring seamless communication between caregivers and clients. Update and manage client records, prioritizing the confidentiality of sensitive information.
  • Billing and Invoicing: Collaborate with the finance department to facilitate billing and invoicing processes, ensuring compliance with agency policies. Address client inquiries related to billing with professionalism and accuracy.
  • Document Management: Maintain well-organized electronic and physical filing systems for client records, caregiver documentation, and agency-related paperwork. Ensure that all records are up-to-date and readily accessible.
  • Communication: Serve as a point of contact for clients, caregivers, and stakeholders, delivering information and addressing inquiries promptly and courteously.
  • Data Entry: Accurately enter and update data, maintaining data integrity and generating reports as required.
  • Supplies Management: Monitor office supplies inventory and initiate orders to ensure a well-stocked and efficient office environment.
  • Quality Assurance: Assist in monitoring quality assurance metrics, participating in audits to ensure adherence to agency standards and regulations.
  • Recruitment Support: Aid the HR department in administrative tasks related to caregiver recruitment and onboarding, including preliminary screenings and maintaining candidate information.
  • General Office Tasks: Perform various office tasks, such as photocopying, scanning, filing, and organizing documents to maintain an organized workspace.
  • Caregiving: Perform backup caregiving responsibilities as needed. In addition to filling last minute shifts when regular caregivers are not available, this is an excellent way to pick up extra hours!

Qualifications:

  • While not required, a High school diploma or equivalent is preferred; college coursework is a plus.
  • Prior experience in administrative roles, ideally within a healthcare or homecare setting.
  • Proficiency in using office software such as Microsoft Office and Google Workspace. Ability to quickly learn new software and processes.
  • Exceptional organizational skills and meticulous attention to detail, with the ability to manage multiple tasks effectively.
  • Strong verbal and written communication skills, presenting a professional and compassionate demeanor.
  • Understanding of the importance of confidentiality when handling sensitive client and caregiver information.
  • Ability to work independently and collaboratively as part of a team.
  • Strong problem-solving skills and a proactive approach to tasks.
  • Flexibility to adapt to changing priorities and a fast-paced environment.
