Summary: The Marketing Administrative Assistant will be the front desk representative for the St. Petersburg Office and will serve as the marketing connection between St. Pete and Sarasota offices. They will be responsible for facilitating marketing and business development initiatives through data input and organization, marketing research, event coordination and participation, and proposal and presentation preparation support.

Qualities: We are looking for a self-motivated, fast learner who has the willingness to learn and help wherever necessary to fulfill our marketing goals and initiatives. We are happy to train the right candidate.

Location:

This position will be based in our St. Petersburg office at 2220 Central Avenue with occasional reimbursable travel to our main office in Downtown Sarasota. For the first 30 days, you will be working out of the Sarasota office for training and to gain an understanding of the firm.

Responsibilities:

• Administrative
  • Serve as front desk / reception for the St. Pete office

• Handle limited administrative tasks in the St. Pete office (order supplies, receive deliveries, maintain a tidy office environment, assist with occasional errands, notify main office of IT issues, point of contact for building-related issues, etc.)

• Marketing
  • Data Entry for CRM (Client Relationship Manager)

• Data Entry for DAM (Digital Asset Management)
• Events and Conference Coordination (conference registrations, hotel and flight reservations, etc.)
• Research event and sponsorship opportunities
• Attend select events with the marketing team and architectural team to further our marketing and business development efforts in the St. Petersburg and Tampa areas.
• Marketing RFP research - RFP information, CIP information, Post-RFP records requests, etc.
• RFP Support - Formatting resumes, project pages, proofreading submissions, and formatting PowerPoint presentations
• Presentation Support - assisting with formatting presentations for architectural team members to ensure consistency of graphics company-wide

Qualifications:

• Associates, B.A. or B.S. degree, preferably in Marketing, Communications, Business, or related field
• Very organized, efficient, analytical, and detail-oriented
• Excellent written and verbal communication skills and time management
• Proficient or willing to learn in Adobe InDesign, Microsoft PowerPoint, Unanet CRM, Digital Asset Management software, RFP notification software, etc.)
