JOB DESCRIPTION

Position Title: Inside Sales Associate FLSA Status: Exempt

Job Type: Full Time Position Level:Salaried

Department: Sales Reports to: National Sales Manager

Primary FunctionThe Inside Sales Associate serves as the primary onsite sales contact for all orders and is responsible for ensuring all orders are processed accurately and shipped accordingly. The Inside Sales Associate also serves as day-to-day administrator, internally and externally, for distributors and wholesale accounts. The Inside Sales Associate will be responsible for logistics and inventory management on a daily basis and provides administrative and customer support for the day-to-day operations for the National Sales Manager.

Essential Responsibilities of the Job

  • Maintain our ordering system, Wherefour, ensuring all orders have been processed and shipped correctly and timely.
  • Confirm and process all Purchase Orders while ensuring accuracy and thorough communication.
  • Daily order processing including sample requests, including all necessary marketing materials and sending invoices over to the finance department.
  • Serve as onsite sales contact for the shipping/packaging department with the ability to answer any questions.
  • Ensure proactive approach to maintaining positive customer relations through ongoing communication, defining expectations and working collaboratively with the Sweet Grass Dairy team to find solutions to customers’ needs.
  • Strategically schedule and manage logistics/transportation for all orders. Communicate the entire order cycle to ensure customer satisfaction. Resolve any arising problems or complaints.
  • Manage inventory updates and allocations in the Inventory Tracker
  • Responsible for the complaint process for quality, packaging, and sales errors.
  • Proactively identify sales opportunities/trends and communicate with the National Sales Manager accordingly.
  • Assist with closing sales and achieving sales targets by proactively reaching out to Wholesale customers to obtain and grow orders.
  • Participate and contribute ideas and recommendations at sales meetings as well as document sales meeting notes.
  • Use our CRM tool (Copper) to maintain a database of current and potential customers and all relevant information as well as assist in marketing campaigns and customer engagement.
  • Onboard new accounts by processing applications, checking references, and setting up customer information in Wherefour.
  • Perform administrative activities in support of the Sales Department, such as processing sample requests, customer portal maintenance such as uploading food safety audits and promotion entry, completing New Item Forms (NIFs), maintaining the promotional tracker, tracking all shortages and preparing sales reports.
  • Strategically schedule and manage logistics/transportation for all orders. Communicate the entire order cycle to ensure customer satisfaction. Resolve any arising problems or complaints.
  • Increase profitability by analyzing freight quotes and building cost-effective partnerships with shipping companies
  • Respond to email and phone inquiries in a timely, professional and eloquent manner. Direct calls and communication with different staff members including marketing manager, ecommerce manager, cheese shop manager, and pack room supervisor.
  • Monitor in transit shipments through UPS Quantum View
  • Serve as the liaison and guide for industry on-site visitors and tours.
  • Support local customer events such as demos and tastings on a quarterly basis

Competencies Required for the Job

  • Knowledge of Sweet Grass Dairy and all Sweet Grass Dairy products
  • Skillfully navigate issues related to a small manufacturing business
  • Knowledge of and ability to provide excellent customer service in accordance with the Sweet Grass Dairy Way
  • Ability to communicate effectively verbally and in writing
  • Ability to be confident, personable, and articulate when communicating
  • Ability to recognize urgencies and opportunities and react accordingly
  • Ability to prepare and review records and reports
  • Knowledge of applicable customer applications and basic computer functions
  • Ability to build instant rapport and maintain mutually beneficial working relationships with customers
  • Ability to multitask and adjust priorities with a sense of urgency
  • Ability to perform basic mathematics
  • Knowledge of office practices, procedures, and etiquette
  • Competency in G Suite including Google Sheets and Google Drive
  • Ability to exhibit extreme attention to detail

Required Level of Education/Experience:

  • High School diploma
  • Bachelor's degree is preferable

Pay: $40,000.00 - $50,000.00 per year
