LOCATION/UNIT: Ranger School - Wanakena Campus

TITLE/SALARY GRADE: Office Assistant 2 (Calculations), SG-9 - Full Time

DURATION: Permanent

SALARY: $40,193 annually (NOTE: current or reconstructed salary for state employees in accordance with NYS Audit and Control)

POSITION DESCRIPTION:

  • General office responsibilities include assisting Program Aide with reception and office duties such as answering phone, receiving visitors, assisting with mail distribution as needed, preparing items for shipment as needed, and other duties in support of Program Aide. Must be competent with or able to learn office software programs, and use email.
  • Clerical responsibilities include working with designated Instructional Support Associate to learn and follow established protocols for the creation and processing of requisition and purchasing records, adherence to internal controls, and maintenance of associated files and record-keeping. Includes following ESF Green Purchasing guidance and supporting sustainability efforts.
  • Purchasing responsibilities including supporting the Ranger School Director with purchasing and expenditures associated with State Accounts; working with Ranger School faculty to determine course supply needs; collaborating with designated Instructional Support Associate to maintain inventory of academic supplies including monitoring and restocking as needed; working with ESF Business Office to submit purchase requisitions for office, academic, and other supplies for academic use at Ranger School. Internal controls include ordering, receiving and distributing supplies to students, faculty and staff together with appropriate record-keeping; communicating student sales of academic supplies and fees charged for room damage, equipment damage, or key loss to the bursar's office (Accounts Payable); reconciling state purchasing card monthly. Collects, records and secures cash transactions for state accounts, such as guest meals, academic supply purchases, dining hall meal cards, and invoicing for visiting groups (DEC Forest Rangers, etc.); makes deposits to bank, prepares monthly transmittals for ESF Business Office. Summarizes and reports monthly mileage use of Ranger School fleet vehicles. Prepares monthly reports for Ranger School Director of deposits and expenditures to Ranger School State accounts
  • Supports Ranger School Director with ESF Foundation accounting at the Ranger School including maintenance of Ranger School merchandise inventory, and oversight of merchandise sales including deposits, reconciliation and reporting. Collects, records and secures cash transactions for Ranger School Endowment accounts (ESF Foundation), makes deposits to banks, prepares thank you letters on behalf of Director. Processes and communicates monthly transmittals for ESF Foundation. Prepares monthly reports for Ranger School Director of deposits and expenditures made to Ranger School Endowment accounts.
  • Property control designee for Wanakena campus, including maintaining spreadsheet database and processing changes including enrollment of new inventory and decommissioning of surplus or discard items.
  • Supports Ranger School Facilities including ordering fuel (propane, gasoline, oil); purchasing responsibilities include preparation of purchase requisitions for equipment and supplies needed by Facilities; ordering and receiving same. Prepare vehicle use reports on a monthly basis. Assists Ranger School Facility Supervisor with monthly reconciliation of state purchasing card. Maintains Excel spreadsheet of all expenses from Ranger School and Ranger School accounts; report to Facilities supervisor monthly or on request. Spends 1-2 days per week in Facilities office assisting with filing and paperwork.
Job Requirements:

REQUIRED QUALIFICATIONS: Must currently hold the title of Office Assistant 2 (Calculations), SG-9 or a title from which transfer is appropriate.

OPERATIONAL NEEDS: 8:00AM - 4:30PM, Monday through Friday
