Summerchase Condominiums is Hiring a Front Desk Agent/Office Assistant Near Orange, AL

Job Title: Full Time Front Desk Agent

General Job Description

The full time Front Desk Agent ensures owners and guests receive the best service possible by answering general guest and owner inquiries, providing directions to amenities, offering rental management company information, providing parking passes according to policy, answering incoming calls, etc. The Front Desk Agent will also assist the Property Manager with clerical duties such as filing, billing, and records management.

Duties and Responsibilities

  • Manage and resolve owner, resident, rental guest, and rental management requests, questions, and complaints in a timely, professional, and courteous manner.
  • Ensure all association rules and regulations are enforced and honored within the community common areas.
  • Maintain a professional appearance and demeanor at all times.
  • Be proactive in identifying property issues and problems including building aesthetics, maintenance and safety concerns; notifying property manager, and creating possible solutions.
  • Maintain a clean and orderly workstation. Change front desk registration forms as needed for vendors. Maintain organization of the office utility closet.
  • Process customer checkout for those purchasing parking passes, t-shirts, etc. in a timely and courteous manner in accordance with the rules and regulations of the association.
  • Be proficient in Microsoft office, Windows software, Google Drive, and critical office equipment.
  • Check all arriving mail. Log recipients and contact if contact information is available.
  • Maintain an updated list of owners’ contact information, emails, telephone numbers, mailing addresses, and rental management companies. Update all information as requested.
  • Maintain an updated list of vendors’ contact information, emails, and telephone numbers.
  • Update front desk binder as needed when office information changes. All information including: vendors, owners, rental companies, monthly association dues, storage lockers, and the rules and regulations of the association must be kept up to date.
  • Answer incoming telephone calls, emails, and messages left on the office answering machine in a timely and professional manner. Take messages for the Property Manager accurately and professionally.
  • Maintain communications and important announcements using lobby television screen.
  • Responsible for keeping all staff members and security staff aware of any important information regarding the property.
  • Effectively communicate with security personnel to solve problems.
  • Assist the Property Manager in the planning and preparation of association meetings and functions.
  • Assist lenders and relators with questions pertaining to the condominium documents and management.
  • Assist the Property Manager in ensuring that the building’s emergency, safety, and critical equipment are in compliance with state and local requirements.
  • Responsible for all other duties assigned by the Summerchase COA Board of Directors and Summerchase COA Property Manager.
