Summary/Objectives:

Maintain an accurate perpetual inventory by performing cycle counts to physically check the inventory against the computer system counts, initiating adjustments, investigating and correcting errors that occur throughout the day-to-day operations, tracking and monitoring the damaged and returned goods, monitoring and pulling code dated items throughout the entire inventory.

Essential Functions:

Cycle Counts

  • The WIT department’s primary function will be to ensure an accurate perpetual inventory system. In order to achieve this, they must conduct daily cycle counts. In addition, there should be two daily cycle counts of the high-ticket items. All WIT members must conduct cycle counts in pre-designated areas on a daily basis. The company conducts three physical inventories throughout the fiscal year. The goal for the WIT department is to cover three complete cycle counts of the entire inventory in between each physical inventory. The WIT is also responsible for cycle counting all pork butts carried in inventory. Only the WIT Supervisor shall make any adjustment to inventory on pork butts. Other miscellaneous tasks include:
  • Produce cycle count sheets through the computer system.
  • Maintain an accurate “Cycle Count Log”.
  • Investigate any errors found on cycle counts.
  • Communicate discrepancies with Supervisor, Warehouse Manager and Purchasing department.
  • Assign pre-determine cycle count locations.
  • Ensuring the case and each counts are correct when splitting items that are carried in both pack sizes

Correcting Errors

  • There are numerous errors that occur during the day-to-day operations. In order to maintain integrity in the inventory quantities, the WIT department must initiate the majority of all inventory adjustments to rectify the errors. They must follow procedural guidelines in conducting their investigation in order to complete the process. The nature of the error will determine the procedures to follow. All adjustments to take out inventory must be documented and authorized by the buyers, prior to the any computer system entry. Part of the process of correcting errors is to determine the follow up with warehouse manager as to the individual(s) responsible for committing the error. Other miscellaneous tasks include:
  • Check previous night’s picking discrepancies.
  • Investigate and process products that are shorted on deliveries.
  • Process internal Transfer Ticket (T.T.) as a source of correcting an error for product redelivery.
  • Maintain an accurate “Error Log”.
  • Communicate errors to Supervisor, Warehouse Manager and the Purchasing Department.

Damaged & Returned Goods

  • The WIT department will be responsible for expediting and monitoring the damaged and return goods on a daily basis. They will physically check and count the damaged goods area, and to match those counts with the log. Damaged items not staged in the designated areas will be investigated immediately and processed according to the procedural guidelines. The WIT department will also be responsible for processing items for disposal, Food Bank and charitable donation pick-ups. All items designated for disposal, Food Bank and charitable donation pick-ups must be documented and signed-off by a WIT member. Items for disposal must be handled on a timely manner so as to maintain proper housekeeping standards. Other miscellaneous tasks include:
  • Restoring damage products for resale.
  • Processing credit memos.
  • Return goods to stock.
  • Remove products unfit to be sold.
  • Conduct physical counts on the damage goods area.
  • Process the resale of products in the damage warehouse.
  • Process internal Transfer Ticket (T.T.) as a source of correcting an error for product redelivery.

Code Dated Items

  • The WIT department will also be responsible for the physical checking of all date sensitive or code dated items. Primarily sold in the chill state, these items must have ample shelf life in order to remain in the inventory. The department must be aware of pull dates verses production dates, as well as the tolerance levels of our customers receiving practices. In order to provide our customers with a quality wholesome product, this task requires checking activities on a daily basis. Other miscellaneous tasks include:
  • Process resale or donation of short dated items.
  • Timely communication to the Purchasing and Sales department for short dated inventory.
  • Prepare outdated items for disposal.

Receiving Goods

  • The WIT department will be responsible for the receiving of lobsters into inventory: ensuring the rotation of old stock and receiving of the new stock is consistent with the first in first out (FIFO) procedure. Upon receiving of the lobsters into the freezer cage which is locked, harvest dates will need to be checked and hand stacked into the cage. Items in the locked cage are a part of the high-ticket cycle which is cycle counted twice daily. In addition, the department receives dry goods that are also locked in a dry cage. It is the department’s responsibility to ensure what is to be slotted is the amount on the purchase order, item placed in correct slot and purchase order is returned to receiving clerk. The WIT department is also responsible for the receiving of next day deliveries of fish market orders. Fish Market employees will bring their manifest, invoices and boxes up to warehouse to be stored in our units until next delivery. The department ensures what is dropped off is accounted for and accurate before the driver leaves. If any discrepancy is found, he is to immediately advise driver to correct. Other miscellaneous tasks include:
  • Properly receive goods in appropriate locations.
  • Splitting the pack size of a full case to eaches.
  • Ensure the case count of eaches in the frozen cage is accurate.
  • Prepare for and store fish market orders until next delivery.
  • Timely communication to the Purchasing and Fish Market departments with discrepancies.

Samples

  • The WIT department will be responsible for the receiving of dry, frozen, chill and non-foods samples. Samples can arrive in shipping containers, loose freight, airline cargo, UPS and or Fed Ex. There may or may not be any lead information from Purchasing department of anticipated samples. It is the department’s responsibility to log items on the Sample Sheet and call the buyer to address storage and disposition of samples.
  • Sign for samples delivered via UPS or Fed Ex.
  • Complete Sample Sheet with items received and contact buyer of arrival
  • Store samples in appropriate areas: chill, frozen, dry & non-foods.

Miscellaneous Responsibilities

  • The WIT members are the custodians of the inventory. The Sales, Purchasing and Accounting departments rely on the information in order to complete their day-to-day responsibilities. In addition to the above requirements, the WIT department must:
  • Immediately communicate all discrepancies that seem suspicious and evident of employee misconduct.
  • Organize workflow to meet deadlines.
  • Ability to work safely and follow all safety policies and procedures.
  • Wear all required Personal Protective Equipment (PPE) to ensure a safe work environment.
  • Clean and respond to any spills immediately.
  • Follows all Sanitation Standard Operating Procedures (SSOP), Good Manufacturing Practices (GMP) and procedures that relate to sanitation, food safety and pest control.
  • Respond to all e-mail correspondence and phone messages in a timely manner.
  • Implement the company’s “Recall Procedures” when required.
  • Perform other duties as assigned.

Supervisory Responsibility

Work Environment
This job operates in a warehouse setting. This role routinely uses standard warehouse equipment such as pallet jacks, hand trucks, and forklifts. Must be able to perform work at various heights, up to but not limited to 15 feet above the ground.

Position Type/Expected Hours of Work
This is a full-time, non-exempt (hourly) position. Schedules may change based on operational needs. Position may require working overtime and holidays per direction of the Warehouse Inventory Team (WIT) Supervisor.

Qualifications

To perform this job successfully, the individual must be able to perform each essential duty and responsibility in a safe and satisfactory manner. Work under minimal supervision, apply logic and reasoning to solve complex problems, use sound judgement and discretion in performing work duties. Requires excellent written and oral communications skills.

While performing the duties of this job, the employee is regularly required to stand; requires activities involving being around moving machinery, exposure to marked changes in temperature and humidity, and exposure to dust, fumes, and gases. Must be able to lift up to 50 lbs on a regular basis and up to 75 lbs on occasion.
