Production Assistant Job Description

Studio 525 is seeking a driven, passionate and detail-oriented candidate to assist with the fast-paced, high demand world of luxury events. Studio 525 has the sophistication and versatility to bring any production to life, and we pride ourselves on providing our clients a seamless experience with their event from start to finish. We are looking for a creative problem-solver who loves immersing themselves in the world of events, including facilities management and overseeing all client needs from the time of contract signing to the end of the event load-out. Our ideal candidate will have the following qualities:

  • Creativity in finding solutions and desire to think outside of the box to reach new ideas about how to handle things / practices.
  • Ability to remain flexible - some days will require meeting with high level clients, other days will require organizing a coat closet. It all depends on what is going on at the time, but ability to know when to jump in and get done what needs to be done is crucial.
  • Desire to achieve 100% all of the time. No tasks left unfinished, not giving up on something that is too challenging or difficult.

Qualifications:

  • Deep understanding of event productions and operations including facilities management, event emergency action plans, production elements including rigging, lighting, power, etc.
  • Experience with contracts, Certificate of Insurance, permitting, etc.
  • Must be able to work in a fast-paced environment while taking directions and delegating responsibilities
  • Must be self-directed and reliable in planning and completion of tasks
  • Detail-oriented, highly organized and able to manage multiple tasks and projects simultaneously
  • Proficiency in Adobe InDesign, Instagram, TikTok, LinkedIn and other emerging social media platforms with the ability to learn other program management systems
  • Flexibility with schedule; must be able to work early mornings, nights and weekends when needed

Primary Responsibilities:

  • Monitor inbox closely and consistently stay on top of all vendor and client questions throughout each day
  • Be flexible with event coverage hours (i.e. late nights / early mornings / occasional weekends)
  • Remain adaptable to a variety of new tasks and projects as the role and events team evolves
  • After the point of contract signing, foster a strong relationship with clients and remain available to assist, troubleshoot and serve as an additional level of support as questions come through
  • Organize and lead all site visits related to event bookings past the contracting phase. This includes client production walk throughs and vendor tours with AV, caterers, drayage companies, fabricators, etc.
  • Participate with the Social Media Manager in the creation and publishing of social media content on all platforms (LinkedIn, TikTok, Instagram) and Newsletters (Flodesk)
  • Effectively manage client documents such as SLA Permits, City Permits, Certificates of Insurance, etc.
  • Consistently monitor event production plans and oversee details of rigging, power, lighting, load-in, etc.
  • Develop and maintain relationship with neighboring galleries, residences, etc. and mitigate any areas of concern with our client’s production plans in advance of the event
  • Oversee facilities management including scheduling maintenance in the following areas: plumbing, painting, lights, power, IT, etc. by consistently upkeeping facilities with a heightened focus on space repairs in between events
  • Consistently oversee inventory management and order/replenish supplies between each event
  • Oversee pre-event management by coordinating cleaning, trash removal and scheduling restroom attendants, security and coatcheck attendants
  • Provide day-of event management by assisting client and vendors through the load-in and buildout process
  • Ensure the space is returned back to a state of 100% at the completion of each event, and handle all aspects of space returns in the event there are damages or items left behind

Job Types: Full-time, Part-time

Pay: $20.00 - $30.00 per hour

Expected hours: No less than 20 per week

Schedule:

  • 8 hour shift
  • Day shift
  • Evening shift
  • Morning shift
  • Nights as needed
  • Weekends as needed

Supplemental pay types:

  • Bonus opportunities
