- Ability to work with all aspects of Dispatch; log audits, compliance and regulatory issues, analyze freight movements and match work for optimally loaded miles.
- Perform general office duties such as filing, ordering supplies, answering phones, responding to emails, and preparing documents
- Communicate with customers, employees, and other individuals to answer questions and disseminate or explain information
- Ability to get along well with other team members, customers, and management
- Compute, record, and proofread data and other information, such as records or reports
- Process orders daily from customers with a high level of scrutiny.
- Confirm port and rail dates (ERD/Cut/LFD) and update accordingly.
- Reconcile the previous day’s dispatch with current yard inventory to ensure all items are wholly accurate.
- Investigate missing information from the schedule.
- Text drivers their daily dispatch for the following day.
- Notify customers of any additional or out-of-scope costs.
- Prepare and review following day paperwork to ensure is hazardous compliant and ready for distribution
- High school diploma or GED equivalent
- One (1) to two (2) years of experience in Dispatch or other equivalent fields
- Experience with Port Authorities a plus
- Proficiency with Excel
- Knowledge of computers and office systems such as Microsoft Office, FileMaker Pro, Mac OS, Windows, with an emphasis on Microsoft Excel.
- Knowledge of administrative procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology
- Knowledge of principles and processes for providing customer services. This includes customer needs assessment, meeting quality standards for service, and evaluation of customer satisfaction.
- Ability to communicate effectively both verbally and in writing.
- Ability to work independently and in a teamwork environment.
- Ability to use problem-solving skills.
- Knowledge of basic mathematics and reading comprehension abilities.
- Ability to manage time and tasks efficiently and handle multiple competing priorities
- Ability to communicate effectively in writing as appropriate for the needs of the audience.
- Understanding of DOT rules and regulations helpful
