Job Summary: 

The Operations Coordinator serves as a key facilitator in ensuring efficient execution of daily operations within the organization. This position involves coordinating various operational tasks, supporting departmental initiatives, and facilitating collaboration and communication across teams to optimize productivity and achieve organizational goals and objectives. The Operations Coordinator contributes to the overall success and sustainability of the organization’s operations. 

Supervisory Responsibilities: N/A

Essential Duties / Responsibilities:

  1. Coordination of Operations
    • Serve as the primary point of contact for coordinating operational activities across departments to ensure seamless execution of tasks in alignment with organizational objectives.
  2. Coordination of Administrative Tasks
    • Provide support for scheduling meetings, preparing agendas, and maintaining documentation related to operational processes. 
  3. Coordination of Projects
    • Support project management initiatives by assisting with planning, resource allocation, tracking milestones, and monitoring project progress.
  4. Athena Support 
    • Provide Athena Zendesk ticket support, including adding referring providers, new users, new depts, merging charts, and additional support as required. 
  5. Inventory Management
    • Monitor inventory (Support Center, Storage Units, Clinic locations), maintain accurate records of items, and coordinate replenishment activities to ensure adequate stock levels while minimizing excess inventory.
  1. Vendor Management
    • Coordinate with external vendors and service providers, including setting up new services, meeting contractors, obtaining city permits, signage installation, coordinating fire inspections, coordinating maintenance requests, coordinating furniture and equipment delivery and relocation, monitoring vendor performance, resolving issues as required, and ensuring timely delivery of goods and services.
  2. Support Process Improvement Efforts
    • Assist in identifying opportunities for operational improvements, streamlining workflows, and implementing best practices to enhance efficiency and effectiveness.
  3. Cross-Functional Collaboration and Communication
  • Collaborate and communicate with various departments to ensure seamless coordination of operational activities and ensure alignment of goals, priorities, and expectations.
  1. Compliance and Quality Assurance 
    • Ensure compliance with relevant regulations and standards, as well as internal policies and procedures. Support implementation of quality assurance measures to maintain high standards of operational excellence.

Education and Experience: 

  • High School Diploma.
  • Proven experience in operations coordination, administrative support, or a similar role.

Physical Requirements:

  • Involves standing and walking during various tasks.
  • Requires full range of body motion, including handling and lifting patients.
  • Demands manual and finger dexterity along with eye-hand coordination.
  • Occasionally entails lifting and carrying items weighing up to 100 pounds.
