Administrative Manager of Operations - Cancer Center

Position Summary

At Stony Brook Medicine, the Administrative Manager of Operations - Cancer Center manages and coordinates activities of Insurance Authorizations and Financial Navigation teams of the Cancer Center across sites. This role is key to ensuring the smooth functioning of staff and processes for cancer patient care delivery – providing the glue between the clinical care team, the revenue cycle team and the patient.

Duties of the Administrative Manager of Operations - Cancer Center may include but are not limited to the following:

  • Streamline operations and effectively apply new concepts and techniques for positive outcomes. Identifies and implements technology to improve operations. Analyzes and develops internal processes and implements procedures and policies to improve and coordinate operations across front desk, revenue cycle, back office, call center and the care team.
  • Anticipates and recommends both big picture and micro-processes to drive higher volume patient and referral base satisfaction and overall improve the efficiency of the Center.
  • Works with other leaders and senior leadership to development strategic plans for new programs and care models and improved workflow. Implements and manages those plans.
  • Prepares and reviews operational reports and schedule analytics to ensure efficiency and access for new and ongoing patients. Recommends and implements process changes to ensure ongoing efficiencies.
  • Plans budgetary needs by analyzing short and long-term program plans. Works with cancer center leadership to ensure completion of data/ tracking, metrics, reports and analytics and budget monitors for the center.
  • Responsible for HR and personnel including hiring, performance appraisals, training, staff disciplinary activity and salary recommendations. Develops and executes training/mentoring and orientation programs, quality improvement processes and other projects, including the development of SOPs.
  • Implements metrics, dashboards and quality assurance programs to support great efficiencies and to meet organizational standards.
  • Possesses a high level of initiative and motivation, and exceptional organizational, oral and written communication abilities. Superior interpersonal skills. Must be comfortable with all levels of staff and be able to multitask while handling frequent interruptions. Ability to work in a team as well as independently.
  • Identifies and implements technology to improve operations.
  • Proactively address issues with patients, physicians, staff and management.
  • Participate in daily and weekly huddle with administrative team, nurses and physicians and other members of the management team to ensure efficiently run physician clinics.
  • Demonstrates ability to answer any questions that might arise when dealing with patients, physicians, or any matters regarding the department/division/physician office.
  • Demonstrates proficiency in data capture and reporting, information technology and EMR systems. Works with IT department as necessary.
  • Implements policies to ensure patient’s safety and quality care and insures that rules and policies are enforced.
  • Supervises and evaluates cancer center staff.
  • Participates in various inter-departmental and hospital committees as assigned.
  • Manage Insurance Authorizations and Financial Navigation teams.
  • Performs other related duties.

Qualifications

Required: Bachelor's degree in Business, Healthcare Administration, Public Administration, Public Health, or related field. At least 3 years of experience in a healthcare management capacity. Knowledge of operational analysis and decision-making techniques for resource allocation and organizational effectiveness. Strong computer application skills (including Microsoft Excel, databases and reporting). Strong leadership and problem solving skills. Excellent written, oral, and interpersonal communication skills.

Preferred: Master's degree. 2 or more years of Cancer Center financial clearance and/or financial navigation experience.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as $67,623 - $79,636 / year.

The above salary range (or hiring range) represents SBUH’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

In addition, all UUP positions have an additional $3,087 for location.
