PRODUCTION FULFILLMENT MANAGER
The Production Fulfillment Manager role is responsible for ensuring all orders are fulfilled according to order specifications for Stone Creek Coffee retail, ecom and wholesale operations. The Production Fulfillment Manager’s work is vital to provide a quality product, with unmatched service, in an optimal timeframe and is the key point of contact for Stone Creek Coffee Fulfillment Specialists.
Metric of Focus:
PRODUCTION FULFILLMENT LABOR PER GREEN POUND USED - A major aspect of Stone Creek’s financial viability rests in the ability to fulfill the product dissemination needs of the company accurately and in a cost effective manner. The metric focus of the Production Fulfillment Manager is to fulfill those needs in a manner exemplifying remarkable care while operating at or under budget. Additional value is created as cost per pound falls and/or quality of execution rises.
Craft // Role Aspects
REMARKABLE CARE - The Production Fulfillment Manager is responsible for obtaining, consolidating, and redistributing all pertinent information required for the production, roasting, and inventory team to efficiently perform their roles in a consistent, clear, and timely manner. This will require working with the Director of Production to close communication gaps and to develop cross team processes that facilitate efficient and concise communication. This includes being the liaison between the Customer Care Team and Production Team. The Production Fulfillment Manager will work through any Customer Care needs, concerns, special requests, and work to accommodate their needs within the Production team's best ability.
ORDER PREPARATION - Every order should be screened and aggregated by the Production Fulfillment Manager for optimal clarity and efficiency. All add on orders or special order requests requiring fulfillment outside of standard fulfillment guidelines must be passed through the Production Fulfillment Manager. Any follow-up questions or needs should be resolved before an order is passed through “into production” for any roasting, packaging, or fulfillment. The Production Fulfillment Manager is responsible for making sure batch production reports are made in an accurate and timely manner from which the Fulfillment Specialists and the Production Roaster’s daily and weekly tasks list are generated from. Accurate and detailed order preparation is key to the rest of the production team's ability to efficiently complete their tasks and fulfill each order.
FOOD SAFETY & INVENTORY SOPS- As a manufacturing and warehousing facility, housing perishable goods and preparing coffee for internal and external customers, it is imperative that we adhere strictly to all Food Safety and Inventory SOPs. The Fulfillment General Manager will work closely with the Director of Production, the Director of Roasting, and the Inventory Manager to ensure that all Fulfillment team members are maintaining Food Safety SOPs and orders are being filled in a first in first out manner.
ORDER FULFILLMENT - The Production Fulfillment Manager oversees the Fulfillment Team and is the direct team leader for the Fulfillment Specialists. They are ultimately responsible for ensuring that SCC wholesale and ecommerce customers receive things when, where and how they need. Fulfillment timelines are determined during the order screening and aggregation process, then orders are communicated to the Roasting team to be compiled as a roasting schedule and to the Fulfillment Staff for order packaging and fulfillment.
TEAM ADMINISTRATION AND MANAGEMENT - The success of Stone Creek Coffee is dependent upon the talented individuals that come to work with us, regardless of their initial role. With this, the Production Fulfillment Manager is responsible for the professional development of the Fulfillment team. With support from the Director of Production, the Production Fulfillment Manager will work across the Production team to ensure the team receives the training, education, coaching, and responsibility necessary to continue along their path, create value for SCC, and build their career. This requires working closely cross-team with the Director of Production and Production Delivery Manager so they can forecast and communicate hiring needs. This work includes, but is not limited to implementing performance documentation, keeping training manuals, toolbooks, and team resources up to date, and assisting to implement team policies and procedures.

HANDLING DIFFICULT CONVERSATIONS – A team leader at Stone Creek must be able and willing to have difficult conversations about performance, compensation, and workplace dynamics with clarity and professionalism. Workplace dynamics include performing the coaching, correction, and leadership necessary for promoting a safe, healthy workplace that is diverse, equitable, and inclusive. This requires proactively addressing performance concerns and providing clear assessments of their team members. Handling Difficult Conversations may at times also apply to customer or vendor interactions. In the event a customer or nonemployee is speaking or acting in a disrespectful, aggressive, or otherwise inappropriate manner, the team leader must be able and willing to engage in corrective actions such as asking the individual to leave, or contacting law enforcement to secure expulsion.
KEEPING & CAPTURING COMMITMENTS – The mission of Stone Creek advances when everyone keeps their commitments in a timely fashion. A team leader must be an example of quality commitment capturing, making, and keeping. If a team leader struggles to keep their commitments then the work of their whole team, and the teams they serve, will suffer. A team leader will always keep their commitments or will communicate in advance with an updated plan if they will be unable to keep a commitment.
GIVING FEEDBACK AND BUILDING GROWTH PLANS – The team members at Stone Creek rely on their leader to guide their development and maintain an environment where team members can gather around coffee, be their authentic self, and celebrate differences together. Therefore, team leaders must be able to craft development plans for their specific team members and for their team. Part of that work will require providing regular, specific feedback to their team members pertaining to their work quality, contribution to workplace dynamics, personal growth, and potential path through daily interactions and formal performance reviews. Team Leaders will track growth goals and outcomes for their team members in Paycor and/or Asana.
BUDGET & METRIC TRACKING AND FOLLOW-UP – Every team leader needs to have an active, clear understanding of their team’s financial success or struggles including their performance to their respective budget lines. As part of this work, team leaders are expected carefully and intentionally to manage their inventory, perishable and nonperishable, in a way that represents responsible resource stewardship. Team Leaders will use this understanding to craft plans for adjusting their behaviors and priorities to improve their performance to their metrics.
Hours: Full-Time, Salaried (Exempt)
Compensation: $45k Base
All employees have the opportunity for compensation review and discussion three times annually during Pay and Performance Reviews.
